Position Overview: * Reporting to the Facilities Manager, the Facilities Coordinator is a dynamic role requiring a candidate who is organized, a problem-solver, good with people and dedicated to making our offices a great place to work and visit. This is small team of Facilities Manager, Facilities Coordinator and Receptionist, who work together as the face of our business to customers, while engaging with staff, suppliers and contractors to make sure facilities are always improving. Candidates should be prepared to innovate to keep the physical environment in step with the demands of an ever-evolving ICT company. Key Responsibilities: As a Facilities Coordinator key responsibilities include: * Overseeing front of house to ensure processes are running smoothly, assisting receptionist with their duties during busy periods. * Monitoring job tickets and email/jabber/phone call notifications of faults, delegating to appropriate resource, following up to ensure resolved or escalating. Updating and closing tickets. * Managing access system and cards, assisting FM with ensuring integrity of physical security arrangements. * Managing refreshment and stationery orders. * Managing maintenance of coffee machines, ensuring staff hubs and Green Room are in good condition. * Managing post and deliveries, including milk for staff hubs. * Managing couriers, including oversight of items arranged by Receptionist. Transporting deliveries to/from appropriate areas in the office. Reviewing courier accounts to ensure processes are being followed by NTTE colleagues. * Managing staff lockers. * Processing supplier invoices and producing analysis of spend as required, reporting to FM * Liaising with suppliers for maintenance/repair issues: Linkline water dispensers, coffee and vending machines, furniture, games room furniture, franking machine, etc. * Assisting FM with other supplier maintenance issues (HVAC/BMS, fire safety, lighting controls, etc). * Assisting FM with fire safety and first aider coordination. * Supervising cleaning contract, reviewing KPIs regularly with supplier. * Checking and ordering supplies: stationery, refreshments, etc. Experience, Skills and Qualifications: * Organised and able to prioritise conflicting demands. * Proficiency with Microsoft Office, particularly Outlook, Word, Excel. * Previous experience in facilities, front of house or reception desirable.
