Job Description

PGMBM Law, a fast growing global law firm founded in 2018 that has raised nearly $100 million in litigation funding to date. They are a unique partnership between British, Brazilian and American lawyers, passionate about championing justice for the victims of wrongdoing by big corporations. They focus exclusively on the Environmental and Product Liability sectors. ( PGMBM has a particular expertise in environmental pollution claims in Brazil and are handling claims related to the collapse of the Fundao Dam, the largest environmental disaster in the history of Brazil and one of the biggest legal claims ever filed in a British court. ( Their Senior Management Team is looking for an exceptional Executive Assistant to provide first class administrative support to the four Managing Partners. The ideal candidate will have prior EA experience and the ability to build relationships across the business, at all levels, with ease. Key responsibilities: * Be the teams "right hand person", strong understanding of their priorities including full, complex diary management. This involves organising overseas travel, including complex itineraries, partner and investor meetings, lunches, dinners, offsites and events led by members of the Leadership * Own work-streams as directed by Managing Partners, such as collating slides for the Company Weekly Stand-up meetings, market research and any other ad hoc tasks that fall within the remit of the role * Effective "gatekeeping"; managing all incoming communication, effectively establishing what is priority, drafting replies and ensuring all mail and requests are processed in an accurate, professional and timely manner * Full management of Leadership team meetings including logistics (i.e. organising video conferencing, securing venues and arranging travel for off-sites) and the creation of agendas and presentation materials. This will involve liaising extensively with teams across the business as well as undertaking research * Extensive travel management, including booking flights, rail travel, hotel accommodation and visas * Attending key meetings as directed by the Leadership team, taking comprehensive minutes and taking ownership to ensure that all action points are followed up on and resolved in a timely manner * Collating and maintaining organisational information and documents (i.e. legal paperwork) and documents required for the business on behalf of the Leadership team (i.e. Passports, Bios) * Extensive collaboration with peers to support the wider business Requirements * Discretion around handling sensitive information and confidential discussions * Prior EA experience(start-up experience a plus) at least 3 years * Experience of calendar management * Experience of using video conferencing facilities, specifically Zoom and Google Hangouts * Demonstrates commercial aptitude and interprets contracts, NDAs and invoices at a basic level * Excellent IT skills: Google and Microsoft suites * Excellent organisational and communication skills and exceptional attention to detail * Ability to prioritise and proactively act on own initiative, coordinating requests efficiently ensuring all deadlines are met.
