Overview

My client is lookinng for a confident, pro-active and personable Executive Assistant/Office Manager to join their busy London team. The role is within Insurance, however does not require someone with an Insurance background but a solid CV is compulsory. J ob Purpose: To act as Office Manager while also providing secretarial and administrative support to the Chief Executive. Supervising the companies secretarial team ensuring that work loads are evenly balanced and secretarial support and cover is always available. Key Accountabilities: Executive Assistant ? Provide full secretarial support to the CEO and Operations Director including extensive diary management, full inbox management, collating, analysing and distributing papers, coordinating travel and itineraries, budgets and filing. ? Administrative support, including meeting arrangements. ? Organisation of all Board and Board Executive Committee Meetings. ? Organise annual and quarterly CEO lunches, team events for the Leadership Team as well as other ad hoc events as required. ? Ensure the website pages and member database (IMIS) is kept up to date in the areas relevant to this role. ? Respond to Member (and other relevant) enquiries/requests for assistance in a timely and appropriate manner. ? As a member of the secretarial team, assist with projects and provide staff cover as appropriate, deputising for other secretaries as and when required. ? Contribute towards a culture of teamwork and shared communication both internally within the market and externally with Members and the Corporation. ? Undertake other duties from time to time as the company may reasonably require. Office Management ? Manage the provision of a safe and tidy working environment, managing the relationship with the Health & Safety Consultant and other office suppliers and ensuring the compliance with current legislation. ? Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested ? Oversee high standards of reception services. ? Dotted line management responsibility for the administrative team ensuring workload is evenly distributed and high standards are always maintained. Ensure adequate staff levels to cover for absences and peaks in workload. ? Responsibility for the facilities/office space related spend v budget.
