JOBDESCRIPTION Job title: Facilities and Office Administrator Department: Facilities ReportsTo: Facilities Manager Broomwood Hall, Northcote Lodge and NorthWood Senior are family owned,independent schools in south west London based over 5 sites for boys and girls aged 4-16.The schools join together to form Northwood schools, teaching over 900 children. This Facilities team provide day to day support to the schools, covering general maintenance, upkeep and set up for all school events, with all larger building work or repairs being escalated to the Planned Works team. School transportation is also managed by the facilities team. Principle objectives To provide support to the Facilities Manager in the day to day running of the schools' facilities. This role will also provide some administrative support to the Compliance manager as well as overall facilities management of the schools’ central support office. Key Responsibilities Facilities Administration To provide a full, confidential administration support to the Facilities Manager and maintenance teams. Monitor reactive work requests via the Facilities helpdesk, escalating where required. Ensure that all requests for above are actioned and completed within the agreed timeframes Raise PO’s and goods receipt purchases (planned and ad-hoc). Maintain site(s) documentation as required byFacilities and statutory/regulatory compliance. Manage the ordering and distribution of stationary / office supplies, ensuring stock levels are kept at optimum level. Responsible for replenishment of first aid boxes. Any other reasonable duties as requested by the Facilities Manager.To undertake filing, faxing, laminating, photocopying and reprographic work as required, including basic maintenance of the photocopier To assist -in-dealing with complex enquiries or difficult visitors to the office Compliance Administration Provide ad-hoc administrative support to the compliance manager Support data input and reporting using the school management information system Support the preparation and dissemination of school policies and procedures Support the coordination of health and Safety Activity including audits and inspections, providing a link between compliance and facilities teams Communication Make any telephone calls as requested by the Facilities manager and follow up any resultant actions Take responsibility for ensuring that the communications that require sending by are dated and ready for collection, and to deal with other outgoing post To deal with electronic mail, both incoming and outgoing, in a secure manner Send any communication, as required by the Facilities Manager, to staff General Responsibilities Comply with applicable professional ethical guidance and all relevant internal rules, policy and procedures, including those relating to health and safety, data protection, IT security and all those contained within the issued staff handbook. Undertake other duties and tasks that from time to time maybe required and that are appropriate to the role. Attend relevant school meetings as requested by the Facilities manager Attend relevant training/school meetings as requested by the Staff PersonSpecification Education Minimum 5GCSE's including English and Maths or the equivalent Skills/Knowledge/Experience Essential IT literate Excellent written and oral communication skills Highly articulate and a skilled influencer Previous experience working as an administrator within a busy office environment Excellent organizational skills Self Driven Problem Solver Able to manager confidential and sensitive information Desirable Demonstrable understanding of the Independent school sector Experience of working in facilities Salary&Benefits This role is offered with a salary up to£26,500 perannum (prorata) dependent upon experience, working three days per week.
