Overview

Executive Assistant & Office Manager Founded in 2007, our client is an independent strategic adviser who helps corporations deal with complex pension issues. The team is composed of two Founding Partners, seven experts in actuarial, investment or covenant, and a CTO working on a new digital product for the pension industry. We are looking for a new Executive Assistant to provide broad administrative support to the Directors and the team. This is an exciting opportunity for an ambitious individual looking to work for a successful and growing consultancy business in central London. We are looking for a highly reliable and well-presented individual, keen to provide the very best level of service at all time, both internally and externally. This is a varied role and the ability to prioritise and multitask is crucial. Previous experience as a PA/Executive Assistant/Office Manager is preferred. Being able to speak French is a plus, but not essential. The role consists in overlooking all the administrative operations of the business, namely: Finances: Log and monitor all purchases, reconcile bank statements. Prepare and send sales invoices and time reports to clients, follow-up payments. Liaise with accountants for the preparation of monthly management accounts, tax matters and payroll. Manage the company’s banking activities, liaise with bankers, process payments. HR: Overlook the HR matters of the company: Process staff expenses claims; Monitor staff holidays; Manage employees’ benefits; Coordinate hiring process: employment paperwork, onboarding, and induction of new employees. Personal Assistant: Manage the calendars of the Directors, arrange meetings and calls. Organise travel arrangements, including flights, taxis, hotels, business cars, and book restaurants. Format PowerPoint presentations and Word documents, print and bind documents packs ahead of meetings. Deal with the company’s paperwork, filing systems, and maintain the company’s records. Personal Assistant to the two founding Partners, including private matters. Premises: Greet visitors and answer generic incoming calls. Order office supplies. Liaise with landlord and contractors for maintenance, repairs, cleaning, IT Support, Telecom providers, etc.; Manage suppliers, negotiate contracts and fees. Manage the office access, security and insurance. Act as the Fire Warden (full training provided), making sure that the fire safety regulations are enforced, liaise with the fire risk consultants. Review and maintain health and safety policies. Deal with post and couriers.
