A fantastic opportunity has arisen to work as the Executive Assistant to four members of the Reed Online Senior Leadership Team. This is based at our head office in Covent Garden (WC2B 5LX). You will provide exemplary top-level support to members of the Senior Leadership Team, Co-Members and other stakeholders through administrative and project based work. The role will also give you an invaluable opportunity to develop sound working relationships with Co-Members across the business. Furthermore, you will support the Executive Assistant to the Managing Director with office management tasks when required, and will assist with office operations and procedures to help maintain exemplary office standards. There will also be opportunities to support the People Team with events and communications. Key Responsibilities Your responsibilities include, but are not limited to: Effective diary management in order to maximise the use of the Senior Leadership Team’s time Arranging meetings and events with minimum fuss Providing expert administrative support through the production of correspondence, communications, reports, meeting agendas, actions and other ad hoc documents Processing absences and expenses Ensuring that meeting rooms are equipped with the right resources and equipment Acting as a first point of contact for queries Supporting with office management tasks when required Working on ad-hoc projects as directed by the Senior Leadership Team and/or HR Business Partner Skills and Experience This role suits an organised, self-starting individual who enjoys working on a multitude of tasks and communicating with employees at all levels of the business. It is not essential for you to have previous experience in an Executive Assistant role, but you must be able to demonstrate the following skills: Highly organised with impeccable time-management An excellent eye for detail The ability to prioritise effectively and work well under pressure Professional communication, and confidence speaking with stakeholders at all levels within the business A proven track record of achieving targets and goals Willingness to tackle things on your own, but ready to work as a team player at all times The ability to work to strict deadlines, often at short notice A strong proven work ethic Ability to handle confidential information and maintaining the utmost integrity at all times Excellent MS Office skills (Word, Excel, Powerpoint) with good GSuite knowledge (or ability and willingness to learn these systems quickly and to a good standard) Absolute discretion is vital in this role at all times due to the level of confidential information you will have access to.
