Overview

Private Equity Executive Assistant to Investment Team £45,000 per annum Mayfair, London 12 month fixed term contract Role: The successful candidate will be working as an Executive Assistant supporting a team of six investment professionals (from Associate to Director level) working for a leading and well-established private equity company. Key Responsibilities: Complex diary management and update of multiple calendars Schedule and arrange regular and ad hoc meetings, video and conference calls Organisation of worldwide travel, accommodation and visas Organise local and international chauffeured cars and taxis Ensure telephone calls and queries are handled promptly and courteously and ensure messages are forwarded in a timely manner Complete and submit expenses ensuring supporting documentation is attached and authorisation is received Work closely with all EAs in the European and US offices Keep information systems and documents up-to-date e.g. office calendars, databases and project files and electronic filing systems To be familiar with all aspects of work provided by the administration team, providing appropriate cover during periods of sickness and annual leave in both the Operations and Transactions Teams General: photocopying, faxing, scanning, printing and document binding, including weekly reports and updates To undertake ad-hoc duties as required Person Specification: Essential 5 years proven experience in a demanding secretarial post Flexible, proactive, "can-do" attitude with a strong work ethic and maturity Willingness to take ownership of the role, be proactive, thinking ahead and not simply follow instructions Excellent interpersonal and communication skills Experience in working within a multicultural environment and overseas exposure Experienced, confident, friendly, outgoing "people orientated" personality required, who is able to liaise with people to achieve work goals whilst protecting and enhancing relationships Diplomacy, discretion, politeness and patience Ability to work successfully individually and as part of a team. Team work is very important Excellent administration skills and strong attention to detail Ability to prioritise and work effectively under pressure Qualifications, Skills and Knowledge Educated to GCSE level or equivalent to include Maths and English (Grades A - C) Excellent knowledge of Microsoft Office (Outlook, MS Word, Excel, PowerPoint) Please send your CV for immediate consideration.
