Overview
Facilities Transformation Manager (Band 8a) Develop an organisationally focused Facilities operating model that best serves the current and future needs of the Trust. To work in conjunction with the Head of Facilities to scope the facilities transformation programme, identifying project objectives, operational risks and to project plan areas of transformation and future direction in line with the Trust’s Five-Year Strategy. To engage with the organisation throughout the process to see how Facilities can provide a quality service to help the trust further strengthen its Outstanding CQC status. This role should work in conjunction with finance and HR on the scoping exercise. Location : South Kensington Temporary : Expected to last 6 months with possible extension Hours per week: 37.5 hours per week Salary : £33 (Umbrella) or £26 per hour (PAYE) Experience Extensive experience of working at senior leadership level within a Facilities or similar service-focused environment Demonstrable experience in leading successful structural change within an organisation Experience in Outsourcing work to third parties Strong contract management skills including contract development and managing performance Strong interpersonal skills and the ability to communicate well at all level Proven collaborative skills Demonstrable management of risk within an organisation Extensive experience in Facilities Management Extensive experience in delivering service, transformation and change process Finance - budgeting, forecasting, analysis NHS Experience Key areas of responsibility Quality, Performance and Service Management: To work closely with and on behalf of the Head of Facilities to understand the strategic principles that should underpin the operating structure, along with any ambitions, issues and opportunities. Understand current operations within Facilities by working alongside teams to identify good practice, opportunities for improvement, and options for development To work with Facilities teams to develop relevant departmental performance data to help design a lean yet resilient operating structure Liaise with key stakeholders to understand the Trust’s current operating model, strategic priorities and anticipated developments Liaise with key Trust operational staff at departmental and ward level to understand what works well, where there are areas of concern and where there might be scope for development of service To understand the full remit of the Fulham Road Collaborative contract and to scope opportunities for adding service lines currently not adopted by the Marsden To support a review of the Catering operating structure in order to identify efficiencies in the operating model for consideration and consultation To capture current Facilities operational risks and ensure that any proposals seek to mitigate those risks, and provide a gap analysis where service provided isn’t meeting expectations or legislative requirements (e.g. lack of suitable safety training) To review the operating structure, roles and responsibilities within the department and present options, changes and innovations To develop job profiles and descriptions for new/developed roles within the Facilities structure for discussion and agreement with the Head of Facilities To work with HR and Finance colleagues to fully understand the financial and people impact of change. To develop job specific training requirements for new and/or changing roles, and review training programme for existing roles. To develop a comprehensive risk register for the change programme, highlighting key operational risks, and discussing those risks with key stakeholders to ensure they are understood and mitigated wherever possible. To work collaboratively with staff to help them understand the impact of change, to hear their views and to understand how change will impact staff at all levels of the Facilities department. To develop a business case on behalf of the Head of Facilities for any restructure or service development for presentation to relevant forums for approval to implement. To lead on Facilities Led Projects that have a Trust wide impact as delegated from the Head of Facilities. Produce reports on operation services provided in house. Manage and measure the day to day performance of internal and external services ensuring value for money. Lead on the business development, change management and tendering processes within the Department in relation to any transformation work. Lead on benchmarking, market testing, tendering and commercial contract negotiations of Facilities services to ensure value for money and quality is upheld. Strategic Development: To identify the key activities for service improvement and business development within the directorate. Identify any internal data and reports as well as benchmarking externally to support any transformation work and to help scope any project plans. To lead on the implementation of service developments across the directorate. To lead on service redesign with the Head of Facilities and Assistant heads of Facilities to ensure high quality service delivery, patient experience and customer service. Identify operational risks and necessary mitigation, as well as providing regular updates to the Head of Facilities and wider reporting where necessary.
