Job Description

We are seeking an Administrator to provide support to the Global Mobility Team. This is an exciting role supporting a global and diverse team. Are you resourceful and a skilled problem solver? Your responsibilities would include: * Proactively manage the global invoicing process for tax, social security, immigration and relocation providers, ensuring that invoices are processed in a timely manner to reduce interest charged on disbursements. * You will work effectively with internal Finance Partners and Intercompany Teams to manage efficient internal cross-charge process * Coordinate with the Advisors to ensure vendors have invoiced fees accurately * Undertake checks on the invoices to ensure cost centre and entity numbers are correct * Collaborate with Central Finance Business Partner and Intercompany Finance Team to analyse and review finance processes to highlight possible process improvements. * You will raise and manage Purchase Orders for vendor invoices, seeking approval from senior management where necessary * Process invoices ensuring that cost centres and entity numbers are correct * Review fee recharge tracker from Intercompany with rejected fees and resolve queries to ensure fees are charged out to the cost centres before Finance Year End. * Addressing invoice queries from internal customers in an effective and timely manner liaising with relevant Advisors where necessary * You will manage process for global tax refund to be credited to the correct cost centre * Creating record for Permanent International Relocations and Domestic Relocations on AssignmentPro and close down the record after the relocation window has expired. * Managing the shared drive keeping current general files updated and ensuring that files that are no longer active are archived * You will also hold general responsibilities such as booking meeting rooms, videoconferencing rooms and external visitors when required Basic Qualifications: * Understanding of the complexities involved in cross-border/cross-cultural working and domestic relocation with the ability to use this knowledge to guide the HR / line clients * Good organisation skills, attention to detail and ability to monitor several initiatives simultaneously * Strong analytical skills and ability to manage and present data * Fully experienced with Microsoft Office Suite (Word, PowerPoint ,Excel) * Experience with ERP systems * General understanding of process invoices and purchase orders Preferred Qualifications: * Experience supporting a global team * Management of complex prioritisation / project work to challenging deadlines * Knowledge of global mobility, domestic and international relocation policies * Strong communication skills * Skilled in building up internal networks As a company driven by our values of Patient focus, Transparency, Respect and Integrity, we know inclusion and diversity are essential for us to be able to succeed.
