JOB TITLE: Administrative Assistant - Maternity Cover REPORTING TO: Office Supervisor/ Operations Manager OVERALL PURPOSE OF THE JOB: To support the Operations Manager in the smooth operation of the warehousing facility by continual monitoring of product entering or exiting the cold store. Ensuring all associated paperwork is completed and accurately relates to incoming/outgoing goods. Dealing with day to day requirements to ensure the requisite level of service support is given to the customers. KEY RESULT AREAS RE COLD STORE ADMINISTRATION: Write out Landings for the deliveries that come into store. To take bookings via telephone/email from hauliers & or customers re collections/deliveries. Maintaining the office i.e. filing and keeping everything tidy Deal with drivers as they arrive - ensuring that all refs etc are correct Manage telephone and email queries via customers and/or colleagues Book incoming goods on the system using Excel spreadsheets (which then upload onto stock system and SAGE 1000) Generate paperwork out outgoing goods via Excel spreadsheets Sage 1000 - allocate stocks, generate pick lists, confirm and issue despatch paperwork Ensure all truck sheets are correct and paperwork ready in a timely manner for drivers to deliver Ensure daily relocation sheets are processed within the procedural time scale with no errors Any other ad-hoc general administration duties Office based point of contact for customer order queries To co-ordinate messages between relevant manager, customers and warehouse ensuring total customer response and all queries answered on the day Scanning all work onto the system and filing the hard copy of customers’ orders into the relevant customer file. Assist Operations Manager with their general office duties when required Please note that this is maternity cover only for a fixed term period to January 2021.
