Overview

Our client is a first-class private gynaecology practice with 8 consultant gynaecologists. This position will be in their first independent outpatient clinic in the heart of the city of London, EC2N. We are actively seeking candidates for an instrumental role at our new location: Front of House and Clinic Manager. The role is a critical one as it is the first face to face contact point a patient will have and will be responsible for the smooth running of the clinic overall. This is a great opportunity for someone with excellent reception skills who is looking to add to their responsibilities. The role will sit in the administration team and will report to the Practice Manager. Key responsibilities Responsibility for the reception and waiting area, ensuring a clean, tidy and welcoming environment. Initial greeting to patients; a warm welcome to the practice. Liaising with all patients, visitors, consultants and users of the clinic. Assisting patients navigate the clinic. Liaison and cooperative working with consultants and other centre staff. Alongside Health Care Assistant/Nurse ensuring all consulting rooms are kept fully stocked. Ordering clinical/administrative equipment as required, working within budgets. General administrative duties such as filing, posting of letters. Day to day management of HCA/nurse. Induction to the site of new team members. Day to day management of certain subcontracted services. Update policies as needed Fire warden responsibilities for the clinic, successful candidates will be given fire training. Reception and Patient Services Duties Greet all patients and create a pleasant and relaxed atmosphere for patients. Ensure reception and waiting areas are kept tidy and clean at all times. Obtain all client details promptly and accurately and maintain accurate patient registration from the database. Patient registration, printing and checking patient details and updating records as required. Answer all telephone calls promptly. Manage delays. Assist patients with offering and helping patients get refreshments whilst waiting. Work with the secretary to collect reviews and feedback. Take payments as required. Organise and wait for courier collection of samples each day. Open and distribute daily post in a timely manner. Keep your knowledge up-to-date of all the services and products that the Clinic provides. Clinic Administration/Management Ensure clinic is fully stocked at all times and ordering stock in a timely manner. H&S duties & Fire Safety Advisor. Monitoring of WC emergency alarm. Completing all stages of induction for new staff for the clinic. Providing input to financial reports and working within budgets. Deal with all enquiries according to the clinic policies. Ensure enquiries/feedback are accurately logged and communicated to the management in good time. When needed send out all international and domestic post in a timely manner. When needed filing of patient correspondence and information To help facilitate audits, risk assessments etc for CQC audits, work with external suppliers as required. Day to day management of external teams, such as cleaning team etc. Liaise with building in front of house as required. To keep up to date with all aspects of mandatory and statutory training. To keep up to date with policies. Experience The ideal candidate will have held a receptionist or front of house role previously, within a medical environment. PC experience (MS Office Suite) essential. Practice manager (DGL) software experience (valuable but not essential). Required Qualities Positive attitude and demeanour, this role is the first face to face experience that a patient has with London Gynaecology/ Excellent customer service skills. Sympathetic and caring: patients can sometimes be anxious or worried, a caring and sympathetic attitude is most important. Discreet approach; the nature of our work is confidential and often sensitive. When speaking with patients as discreet approach is required. Awareness of GDPR and patient confidentiality To log and deal with patient complaints that present on a working day and assist in incident review/investigations when needed High attention to detail. -Good telephone manner. -Excellent time keeping skills and multidisciplinary working - A willingness to pitch in and work outside of the core responsibilities of the role; we are a small team and we all work as needed from time to time. This is a patient-facing position in a first-class private practice. Candidates should be presentable at all times. It is a non-uniformed role but conservative attire is required. Whilst this role is based in EC2N, there may be a requirement to work from other sites from time to time.
