Overview
SF Group are looking to recruit for a business based in Birmingham City Centre. This role is paying £45k. Reporting to the Chief Finance & Operations Officer, the Head of Operations will work with the Head of ICT and the Head of Finance to contribute to the strategic leadership of support services across the Trust. The Head of Operations will oversee and be responsible for the day to day estates, catering and letting operations of the Trust and its schools. This will include: - the development and implementation of an Operations Strategy across the Trust covering estates management, catering and external lettings, this will include a capital investment plan for the next 5 years; - working with the Head of Finance and CFOO to develop annual maintenance, lettings and catering budgets across the Trust and its schools; - developing and leading a team of site managers to provide maintenance and health & safety support and guidance to the Trust and its schools; - developing and leading the catering provision across the Trust and its schools; - developing and leading the external lettings of facilities; - the line management of the Trust's site managers (via the hub site managers), catering managers (via the hub catering managers) and any additional staff involved in the external lettings of facilities; - assisting in providing a purposeful, effective and supportive environment for learning across the schools; and - leading on the estates, catering and lettings integration of new schools joining the Trust. The Head of Operations will also be expected to be hands on if/when required to support delivery, particularly around estates and lettings. Core purpose To ensure that the operations team deliver a high quality service to all users of schools and facilities in support of teaching, learning, management and other activities, in accordance with the Trust strategic aims and development plans. Specific responsibilities Estates Management - Work with the CFOO and the Trust's estates advisors to develop an integrated approach to estates management and maintenance, including the development of ongoing maintenance programmes. - Ensure that all sites conform to Health and Safety requirements. - Ensure a high standard of estates and cleaning provision at all sites. - Provide higher level support for more complex estates requests. - Ensure all estates and health & safety processes and systems are fully documented. - Ensure value for money is achieved in estates procurement, through a process of competitive tendering, delivery of larger projects or systems into multiple school sites or across the Trust, or other mechanisms. - Provide or facilitate specialist training courses and learning materials for site teams. - Establish and maintain regular written and in-person communications with the schools leadership teams regarding pertinent issues. Use service data to support these communications. - Work with the Head of ICT to ensure effective deployment and operation of school security systems e.g. CCTV, intruder alarm, access control etc. Project Management - Identify, plan, project manage and implement complex capital developments to agreed deadlines, budgets and levels of service. - Develop and manage the implementation of a rolling investment program for estates. - Develop and maintain a fixed asset register for non-ICT assets. - Develop and maintain a software register. - To develop and monitor the Trust's estates, health & safety, catering and lettings policies. - Work with the CFOO to ensure the successful opening/transfer of new schools joining the Trust and to ensure smooth operations following this opening. - Work with the CFOO, and other staff to lead on the minimisation of impact on the environment. - Work with the CFOO, Head of Finance, Head of ICT and other staff to identify and implement ongoing cost reduction initiatives and projects. Lettings - Establish the Trust's approach to external use of its facilities in line with the Strategic plan. - Increase the net revenue generated by the Trust through the community use and letting of its facilities. - Oversee the occupancy and use of any houses within the Trust. - Develop and maintain strong relationships with community groups using the facilities. - Recruit external provider or staff to support the delivery of these income generation activities. Catering Management - Work with the CFOO to develop and establish the Trust's approach to catering taking on board advice from external experts. - Deliver on the implementation of this catering strategy. - Manage the ongoing catering operations across the Trust, ensuring compliance with food hygiene, health & safety, nutritional, and other guidance/legislation. Team Leadership - Manage the staff within operations team (estates, catering and lettings) so as to achieve effective and efficient delivery. - Set support priorities, balancing response to support requests with the need to follow planned monitoring and maintenance, in the context of staff availability and team demands. General - Support the overall Christian ethos of the Trust - Be a part of the Central Team and advise on courses of action, updates and changes to policy as appropriate. - Produce confidential reports and information as required. - Understand the implications of government policies and education trends, and developments. - Be familiar and comply with all relevant health and safety, operational, personnel, safeguarding, data protection GDPR and financial regulations, policies and procedures. - Ensure equality of opportunit
