Learning & Development Coordinator - Surbiton Salary: Up to 24k Position: Administration Job Type: Permanent Duties / Responsibilities / Accountabilities / Deliverables An exciting opportunity has arisen for a Learning & Development Coordinator to join our Learning and Development department based in Surbiton. The working hours for the position are Monday to Friday 9am - 5pm equating to 35 hours per week. Job Purpose: Supporting the L&D manager and L&D business partner by providing a professional administrative resource to the L&D function ensuring that business and soft skills training courses, training schemes and personal development activities are properly administered, monitored, delivered, evaluated and reported on in accordance with EMCOR UK’s learning and development strategies. Duties / Responsibilities: Training Administration Update L&D database with current employee lists provided monthly from HR team Providing administrative support to L&D manager including written communication to delegates, external training providers, venues and EMCOR UK management and leaders Production and distribution of training certificates, ensuring that accurate attendance records are kept Liaise with HR and senior teams to ensure that close collaboration and coordination exists between the Learning & Development and business functions so that full skills requirements and complete training records exist by employee Ensure programmes are fully attended by sending reminders Programme Coordination Source and liaise with external and internal venues to book programmes and organise refreshments Preparation and dissemination of joining instructions, manage attendance records and administer training invoices and internal re-charges Liaise with internal and external trainers to ensure availability Liaise with training providers and consultants to ensure training programme administration and course delivery needs are met Work with HRBPs and Line Managers to ensure courses are fully populated Send out pre and post course information to all participants Chase up pre-course work Send evaluation feedback emails after each programme; chase and monitor feedback received Course Materials Ensure all course materials are correctly branded and accurately written Production, printing and distribution of training materials, certificates and delegate registers, ensuring that accurate attendance records are maintained EssentialSkillz Managing relationship with Essential Skillz ensuring changes and updates are implemented accurately Monitoring of eSkillz inbox and managing enquiries Inputting and maintaining records of all training programmes attended Financials Use JDE or IFS systems to add training partners and suppliers; raise and approve purchase orders Organise payments for venues, trainers and suppliers in a timely manner Input data into the relevant spreadsheet Cross-charge contracts, accounts and departments on a monthly basis, maintaining close contact with the finance team for any queries Data Entry Input training nominations onto L&D database Inputting and analysing evaluations to ensure quality and standard of training is maintained Customer Service Responding to delegate enquiries in a timely manner Provide administrative support to L&D manager including written communication to delegates, external training providers, venues and EMCOR UK management Learning Champion Pools Providing administrative support to LCPs to organise programmes and workshops Ad-hoc duties to support the L&D function as and when required Provide support at learning events/workshops as requested from time to time General Providing administrative and coordination support to L&D manager and L&D business partner including written communication to delegates, external training providers, venues and EMCOR UK management Provide ad-hoc duties and absence-cover to support the L&D function as and when required Provide support at learning events/workshops as requested from time to time Occasional UK travel will be required Person Specification Qualified to A’ level or equivalent The ability to manage high volumes of transactional activity accurately and in a timely fashion, whilst being cognisant of the importance of hitting deadlines. Highly capable and confident managing information systems. A strong preference towards experience gained working in a training and development function within a B2B multi-site working environment Excellent Microsoft Office and PowerPoint IT skills The drive, determination and influencing skills to manage others with regards to compliance towards training requests and attendance on courses booked, whilst promoting the importance of learning and development in our business. An ambassador for learning and development, promoting function and the internal development and growth of our people A self-starter, comfortable working without constant day to day management Excellent organisational and planning skills are essential in this role. Flexibility and ability to respond to changing priorities Good influencing and strong communication skills are essential
