Administrative Assistant, McKesson Global Procurement and Sourcing This role provides primary Administration Support for four senior leaders and will be required to gain a thorough knowledge of company operations, policies, and procedures, and will handle details of a highly confidential and critical nature. Position Description This role is responsible for general office administration as well as extensive calendaring, meeting planning both on and off-site meeting planning and travel planning. Specifically: * Provide support to executive board members for board meetings * Assist with legal assignments, DocuSign and SharePoint systems * Maintenance of filing system, electronic and hard copy files * Timely management of expenses and support with any local and ex pat administration * Flawless travel planning and attention to detail * Contact awareness and oversight of calendar management in an efficient and practical manner * Meeting organization and preparation, collecting and collating support material from internal stakeholders and preparing for meetings as well as providing catering requirements * Drafting/editing correspondence * Take and deliver messages, provide information to callers * Provide administrative cover to other admin and executive support staff during annual leave and sick leave * General office administration, including but not limited to taking receipt of post and deliveries, arranging couriers and receiving guests from the downstairs reception as needed Minimum Requirements 2+ years advanced administrative support working with senior level executives. Technical and Personal * Excellent calendar management skills, including the coordination of complex executive meetings. * Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook. Experience and capability to learn additional technology. DocuSign and Concur programmes are a plus. * Expert level written and verbal communication skills, strong decision-making ability and attention to detail. * Project coordination. * Prioritisation and time management skills. * Exercising judgment within generally defined practices and policies. * Relationship building inside and outside the company * Strong, professional inter-personal skills that always represents our company, the team and the president in strongest manner possible * Must have a strong team orientation, is willing to support and assist others within the office regardless of title or grade level, goes the extra mile Additional Knowledge & Skills The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This includes interaction with staff at all levels, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality. Education Bachelor's degree, or equivalent experience. Physical General office demands.
