Job Description
Financial Technology Partners LP, the only investment banking firm focused exclusively on the financial technology sector, is actively seeking a Receptionist/ Personal Assistant for our London office. In this role, you will be responsible for providing administrative support the London office team members including, but not limited to, meeting and greeting clients, maintaining the reception area and the meeting rooms tidy, arranging couriers, receiving and distributing post and deliveries, setting up internal and external meetings, managing calendars, arranging travel plans, and processing expense reports. The ideal candidate will have great communication and interpersonal skills, be proactive, self-sufficient and well organized. Additionally, he or shemust have an excellent judgment to properly prioritize multiple and potentially competing requests and be confident with Microsoft Office suite. Responsibilitiesinclude: * Acting as the front of house receptionist, welcoming all guests and direct them internally * Greeting guests, offering refreshments and giving an efficient front of house service * Timely and accurate coordinating internal and external bookings in the meeting rooms, including logistical details, communication, and follow-up * Sorting and distributing incoming post and deliveries * Arranging outgoing post and couriers * Updating internal contact lists * Preparing monthly expense reports, identify and resolve all discrepancies * Booking travel and hotels for staff members * Covering office manager/EAs during holidays * Ordering office and kitchen supplies (stationery, milk, sugar, drinks) and catering for client and internal meetings, as needed * Helping with events and logistics * Running errands and help out whole team with ad-hoc requests * Keeping an organized and neat office environment and ensure all office services run smoothly * Maintaining and protecting confidentiality regarding all aspects of client and company information Desired Skills, Background, & Qualifications General Requirements * 2+ years of related experience as a Receptionist, Personal Assistant, or Administrative Assistant * Experience professional services industry preferred * Seeking work in a fast-paced, entrepreneurial environment * Proficient in the use of Microsoft Office Outlook * Familiarity and/or ability to learn and work with corporate software tools (e.g. expense reporting, travel booking, CRM, etc.) * Strives to continuously build knowledge and skills * Excellent professional references Service Orientation * Responds promptly to your internal customer needs; solicits feedback to improve service * Responds to requests for service and assistance; meets commitments. * A positive, enthusiastic approach to work and collaboration.
