Main purpose of the role: * This Executive Assistant will provide administration and management support to the Technology office for the EMEA Technology office including providing executive support for Deputy CIO, , Head of Corporate, Investment and Transaction Banking Technology Department and Head of Planning Department * Provide a central role for cross divisional requirements to ensure timely completion * Responsibilities include support for running the day to day operational activities relating to Planning department's core processes, including IT risk management, Business continuity, , strategy, governance and reporting * Provision of the necessary management information (MI) and Meeting support * Drive and support the delivery of governance activities which includes IT strategy management, regulatory request management, and maintenance of a governance framework for management, performance and communication, collating inputs including SLAs and KPIs across all EMEA IT functional towers where appropriate Key responsibilities: * Collect, collate and present management information (MI) to the L1 and L2 management in a timely manner - production and management of assigned report/s * Act as a central point of contact for inter departmental activities. Ensuring all participants complete required activities to agreed timescales * Provide confidential and agreed executive management assistance which is including making the necessary travel arrangements for business trips, preparing detailed itineraries for Deputy CIO, , Head of Corporate, Investment and Transaction Banking Technology Department and Head of Planning Department * Facilitate and co-ordinate monthly BCP routines for the Planning department * Manage and maintain the IAUM register and processes for the Planning department * Facilitate the training requirements and the knowledge transfer needs of the Planning department * Provide support where appropriate to the Tec management team * Manage the maintenance and administration of assigned SharePoint site, including facilitating information sharing and collaborative working * Produce necessary materials, such as reports and presentations, as required by the Planning Department Work experience: * Previous experience of collating and analysing office performance metrics * Previous experience of creating presentations for use by management Functional/Technical Skills and Knowledge requirements: * Extensive use of the Microsoft Office suite, especially Excel including graphs, formulas and pivot tables; PowerPoint; Word and Outlook. * Understanding of SharePoint site administration and management. * Takes a logical, analytical approach to problem solving and pays close attention to detail. * Excellent written and verbal skills, and must be able to document and articulate to others key issues in the software development arena. * Able to rapidly evaluate and understand new products within the team's scope. * Drive the building of a service excellence culture, always putting the customer, our people and our business at the centre of everything undertaken. * Japanese language business level (Nice to have) Education/Qualifications: * Minimum A level or equivalent experience * Certifications preferred in: * EXCEL * PowerPoint * Word Behavioural Competencies: Integrity and Responsibility -Balance Risk with Opportunity -Customer Focus -Demonstrate Global Perspective Professionalism and Teamwork -Drive For Results -Collaborate and Build Partnerships -Communicate Effectively and Professionally Challenge Ourselves To Grow -Influence and Inspire Others -Lead Change & Seek Continuous Improvement -Think Strategically - Manage and Develop Talent * As duties and responsibilities change, the job description will be reviewed and amended in consultation with the job holder.
