Job Description

Overview The HR Administrator will provide pro-active and reactive HR advice and support to employees, line managers and the HR team. This will include resolving queries and issues on a range of HR topics, providing and implementing practicable solutions in line with HR processes, policies and best practice. The HR Administrator will provide full support to the HR team in relation to HR administration and in support of implementing continuous improvements. The remit of the role will include employee relations, recruitment, training and development, performance, compensation and benefits and working closely with the internal payroll team. Responsibilities * Respond to routine queries including answering emails in the HR Inboxes and walk-up queries e.g. absence, benefits, etc, escalate where necessary. * Process all new starters, movers and leavers, ensuring that all logistical elements are covered, and records updated in line with internal SLAs. * Issue routine letters and contracts including change of role, amendments to the contract, maternity/paternity letters, etc and follow through relevant processes, ensuring records are maintained accurately and promptly. * Work closely with the Payroll Manager and act as the main HR contact for supporting such queries. Ensure all payroll information is submitted accurately and in line with set deadlines. Provide ad-hoc reports. * Administer reward and benefits including those related to the pay review and bonus process including renewal of the annual health and dental care schemes, and the holiday buying and selling scheme. * Ensure sickness absences are correctly recorded in the system and follow up with line managers where necessary, flagging concerns to the HRBPs. * Contribute to and support the implementation of HR projects in support of the business objectives and people plan. * Undertake regular system maintenance including updating data with respect to new managers, cost centres, etc and working with internal and external stakeholders to drive system improvements. * Liaise with employees and Rail Staff Travel Limited on all safeguarded travel issues and renewal process. Act as a point of reference for all queries. * Create and analyse reports from the HR system using Excel. Monitor KPIs including, headcount, sickness, turnover, gender and ethnicity ratio through monthly dashboards. Provide routine reports to internal stakeholders. * Carry out HR Inductions for new joiners and new line managers to ensure familiarity with the HR policies, processes and best practice. Educate and support line managers on the onboarding process. * Carry out meetings with employees who have changed terms and conditions to ensure familiarity with the new agreements including annual leave booking process. * Manage eLearning modules including GDPR, Equity and Diversity and DSE and track completion rates. Flag issues if necessary. * Coordinate, support and run HR workshops/webinars. Upload the training information on our intranet page. * Administer and support pre-employment checks conducted partially by an external supplier and manage both the supplier and candidates. * Co-ordinate aspects of the HR budget including arranging payments, raising purchase orders and arranging bank transfers. Qualifications * Experience of working in a similar role undertaking HR administration * CIPD qualification (desirable) * Experience of the full employee life cycle and managing administration at key stages such as new starter, absence, pay, reward, performance and payroll activity. * Experience of providing first line HR advice and maintaining records and other paperwork accurately and effectively * Intermediate/ highly proficient with Excel and Word including formulas, creating reports, etc. * Strong attention to detail * A strong commitment to customer service and providing a positive employee experience * Able to work on own initiative as well as part of a team * Experience of using an HR Database or similar to record, analyse and manipulate data Early applications are encouraged, we may close this vacancy before the advertised deadline if sufficient numbers of applications are received.
