Overview

A brand new position has arisen for my well estaablished engineerign company in the heart of Rustington. The role of this department is to service, commission,undertake warranty works and provide an after sales support for asll industrial systems and organise installation. The role is really varied and you will be carrying out various adminstration tasks, handling incoming calls, updating information and chasing documentation. Key tasks are as follows Weekly To handle telephone calls to the department To confirm planned maintenance visits 2 weeks ahead of time and send out any necessary parts To chase purchase order requests To complete questionnaires, risk assessments and method statements, permits and forward to planned maintenance sites To carry out manual and electronic filing from Service Engineers after their site visits To update information about sites and equipment prior to Service Engineers going to site To chase purchase orders and invoice post parts To run monthly report for forthcoming planned maintenance visits and set up service orders To set up contracts and acknowledge receipt of orders To check the Service department email folder for customer enquiries and respond accordingly To issue warranty numbers to engineers and sign returns To provide administration support for the installation and contract management side Monthly To check rental invoices received To manage the order status list to ensure no outstanding commissioning are over looked To confirm and follow up engineers’ availability for Saturday To chase commissioning acknowledgements and remedial quotes following site visits To process service engineers training certificates To review training requirements monthly and send to the Senior Service Co ordinator Routine Administration and Support To maintain the database, ensure that calibrations are up to date and identify those that are out of date pre meeting To update documents, policies, spares/maintenance guides To update records on Navision to include commissioning dates after visits have been carried out To liaise with Core Services re Service Engineers’ travel and produce appropriate travel documents To update documentation for the Service Manager To maintain housekeeping tasks To manage the Dart and London congestion accounts To chase agreements To contribute to the stock taking process and provide feedback to the service engineers To collate end of month figures re expenses and supply the information to the Service Manager ready for authorisation There are great benefits at this organisation and parking is on site.
