We are looking for an experienced Administration Assistant to join our friendly team and support the Executive Assistants and Executive team. Were looking for someone with extensive Outlook experience, diary management, travel & conference bookings for a wide variety of internal stakeholders, as well as impeccable organisation skills, high attention to detail & ability to understand & follow process. Key Responsibilities Provide support to Executive Team: Proactively manage some of the Executive Teams calendars Collating and filing Executives expenses Working closely with the Executive Assistants to coordinate the Executives calendars and whereabouts Taking on ad-hoc projects as required to support the Executive Assistant and Executive Management Team General Administrative support: Registering people for conferences, including organising associated travel, transfers and accommodation Maintaining the conference spreadsheet Providing support to the Admin team in general duties such as post, answering and filtering telephone calls, juggling meeting room availability, raising purchase orders, etc Providing back-up support for the Executive Assistants as needed for holidays, absences, or periods of high workload Providing ad-hoc support for the HR team when required Job requirements Education & Experience Good level of general education. Must have English and Maths at GCSE level or equivalent Experience of working in a similar role in a busy environment, ideally in a biotech company Experience in making travel arrangements, bookings and conferences Extensive experience of using Microsoft Outlook, Excel & their variety of features e.g. calendar, reminders, bookings, formulas, lookups, etc. Previous experience with using Skype for Business Skills & Knowledge Effective written and verbal communication skills Excellent level of IT skills, predominantly Microsoft Outlook and Excel Good knowledge of standard software packages and the ability to learn company-specific software if required Excellent people skills, self-confident and able to communicate effectively and present a positive image of the Company Competencies Highly organised with an excellent level of attention to detail & ability to prioritise work & multi-task Ability to work in a flexible, collaborative style with colleagues and teams within the company and externally The ability to be proactive, autonomous & work using your initiative Enthusiastic and reliable Ability to handle people with tact and sensitivity High level of integrity, discretion & ability to maintain confidentiality Flexibility and adaptability Can you see yourself being part of a company that celebrates diversity and believes that better thinking and decisions come from wider experience?
