Overview

Facilities Logistics Manager We are currently recruting for A Facilites Logistics Manager for an exceptional client. The role is responsible for the maintenance, set up and breakdown of all events at this iconic venue. They look after an area of 400 acres including all buildings onsite, catering venues, and related outdoor sites. They implement any changes to the venue in relation to safety regulations from the FIA or FIM governing bodies as well as handling day to day operations of any activity at the venue. As a subdivision of the Venue Services Department, the growing Estate & Facilities team is led by our Estates & Facilities Manager and consists of a Logistics Manager, Logistics Supervisor, Facilities Coordinator, Logistics Assistants and Buildings Maintenance Operatives. The team work across all departments to maintain the appearance of the estate, distribute furniture and equipment across the entire site and ensure all buildings are fully operational. They provide vital support on all events ranging from conferences right through to large weekend sporting events. Job Purpose To oversee the distribution of furniture and equipment across the venue, ensuring the effective and efficient delivery for all events. Work with internal departments to agree service levels and provide ongoing suggestions for improvement. Day to day management of the Logistics team. Key Responsibilities Oversee the ordering and distribution of furniture and equipment for all events at the venue Implement processes and procedures to ensure all departments’ and event requirements are understood and are delivered to the agreed standard Manage and direct the Logistics team Manage contractors and/or additional casual staff as required Manage the Logistics team rota and all leave requests Manage the risk assessment process, carrying out and recording risk assessments for all tasks, keeping the register up to date and reviewing as required in conjunction with the Health & Safety advisor Manage and assist with all ‘Live’ events Produce action plans for department development and smooth operation Manage all monthly hire equipment and assets, keeping an up to date asset inventory and maintenance log, reporting issues and rectifying where possible Manage the repairs and maintenance of stock Forecast department requirements for stock replacements and carry out end of life reports on existing equipment Work with the Procurement Manager to find new products and product lines Work with suppliers to receive quotes and samples Authorise and raise purchase orders Assist the HR department & Staffing Coordinator to manage and review staff training requirements Attend all operational meetings relating to the venue and delivery Provide monthly feedback to the Head of Department on events, highlighting any delivery issues and solutions Look after the fleet of vehicles Manage uniform and PPE requirements for the Logistics team Perform manual handling tasks as required Ensure company policies and Health & Safety requirements are adhered to at all times by yourself and your team Report any health and safety issues via the Head of Department and record onsite accidents on Smartsheet system Carry out stock audits and reports including quality and grading of furniture to create action plans Any additional responsibilities as reasonably required Key Relationships Venue Team Operational departments External suppliers and contractors Knowledge, Skills & Qualifications Previous experience within a similar role People management experience Problem solving ability Intermediate level in Microsoft Excel Strong written and verbal communication skills Good time management skills, able to cope under pressure in a busy and fast paced environment Excellent organisation skills with strong attention to detail The highest standard of personal presentation A strong leader with the ability to manage and develop a positive and productive team Distinctive, professional and warm personality Flexible approach to working hours, including some weekends Fork Lift License (desirable) Full clean UK driving licence Please apply with an up to date CV in Word or PDF format.
