Overview
About the job To provide an enthusiastic, effective and efficient administration service to the office and to ensure that internal and external clients receive a quality service in all respects. As an integral part of the team, you will also work closely with colleagues to ensure communication is effective and a comprehensive administration and support service is offered at all times. General admin duties for the team will include: Working with the Partner and Managers within the office helping them to understand the secretarial support model and the service provided. Diary and meeting management Assist with booking internal/external meeting organisation and all related logistics including travel and accommodation. Screening telephone calls on behalf of the team and relay accurate information to colleagues. Correspondence - general letters / engagement letters. General administrative and project support To fully utilise the in house Dynamics client relationship management system. File reviews – helping to set up new files/filing.; Resource Central – using our inhouse meeting room booking system finding solutions where lack of availability Assist with timesheets and expenses as required Photocopy/scan documents/printing for the team Arrange couriers when required Set up conference calls using SKYPE Assist with post for the team including Supervisor and Assistants, circulating mail items to the wider team and assist with incoming and outgoing mail for the office as required. Attend staff team meetings and training courses Helping out within the wider secretarial team as and when able to. Carry out any other duties as are within the scope, spirit and purpose of the job, the title of the role and its grading, as requested by the line manager or head of department Organising collections and cards for various occasions within the department eg birthdays, exam results, leavers Provide cover for colleagues during absences as appropriate across service lines Provide reception cover when required Other ad hoc duties Time and expense management Assistance with month end billing – mainly last week of the month. Raising bills / credit notes and provisions using our PASO in-house system. Sending out to clients by post or email. Marketing Support Dealing with all Marketing events for the office including sending of invites, collating responses, organising venues, setting up of venues (off site), etc. Assist National Marketing on local marketing issues Keep local database (Dynamics) updated
