Overview

They have instructed Adecco to recruit an experienced Secretary to join their office in York to support the Regional Construction Director and Office Manager. General Responsibilities General typing and correspondence for the department's Managers and other members of the department as required, ensuring company standard formats and responses are being used as appropriate. Progress and file correspondence as necessary. Answer incoming telephone calls with speed and courtesy and always with a high degree of attentiveness and efficiency. Handle and distribute all post for the department, including open and log. Maintain departmental Manager's diary and log movements of other members of the department. Arrange meetings and appointments as required. Undertake any adhoc reports as requested by the departmental Manager within set deadlines. Undertake administrative tasks for the department as appropriate. Attendance at meetings to take minutes, including meeting room management, refreshments, lunch etc and to reinstate the room. Maintain holiday and absence records for the departments ensuring authorised forms are processed and forwarded to Office Manager. Order, monitor and maintain stationery stocks for the departments and Region. Escort visitors to and from the office ensuring that they are not left unattended. May have access to information of a highly confidential nature in connection with the departments business and company policies in this connection considerable discretion is required. Will be required to cover Reception on a rota basis. Collate monthly Board Report information for department. Process expenses and Hotel and travel bookings. Arrange maintenance of department equipment, such as photocopiers and printers in accordance with policies and procedures. Key Responsibilities - Construction To arrange the training for construction/commercial for the Region and make the CITB claim and maintain the training plan. Maintain and update Health & Safety Training Matrix as required. Ensure relevant Health & Safety documents, flyers, posters, etc., are forwarded to site, together with laminating for site use. Copy and file Health & Safety site reports, as required. Ensure any drawings revisions and amendments are forwarded to site and relevant Subcontractors following instruction from Commercial Department and record same. Assist Contracts Managers in the preparation of construction programmes using Project Commander software. Completing requests in respect of NHBC registrations, BT, electricity, gas and any other utilities and ensure the orders are in place in order to meet project programmes. Formulate letters, send out and record in respect of oversail agreements, dilapidation surveys and any other relevant Consultants. Update department shared drive as required. Collate information for development handover packs to include all relevant site information and pass to site for completion with relevant signatures. The ideal candidate will be educated to a minimum of GCSE (or equivalent) level and will be competent in the use of a range of Microsoft Office packages. You will be: Need to be a self-starter and work under own initiative. Able to work under pressure as timescales require to be achieved. Multi-tasking skills are essential. Precision and accuracy are most important as in all secretarial appointments. Needs to be well organised, structured, flexible, reliable and methodical. Good listener, approachable and dependable. Driving License is desirable.
