Overview

An excellent opportunity for an experienced Receptionist to work for one of London’s top asset management firm located by Piccadilly Circus. This is a hybrid role that will offer the right Receptionist a huge variety of responsibility. This temp to perm position is a busy, fast paced and demanding role, therefore a minimum of 2 years Reception experience within the financial industry is essential. Responsibilities are - Reception Cover reception and being the first point of contact for clients and visitors Operate switchboard and screening phone calls, enquiries and requests Maintaining security by pre-book visitor names onto the security system Managing meeting room calendars and dialing in conference call numbers prior to audio/video calls Prepare meeting rooms and lunches as required Order and coordinate Friday’s staff lunch for One Eagle Place Print and bind documents as required for internal and external meetings Manage the general information inbox Distribute incoming post to the office Book couriers as required File/scan bank statements and invoices on behalf of accounts Approve invoices on DB (online accounts system) Update staff contacts Ordering flowers and gifts for staff as required (ie. new baby, bereavement etc) Office Assist in the management of the office Maintain and monitor the order the office supplies, stationery and groceries Restock fridges and food cupboards and distribute milk supply between the kitchen and pantry Display fruit delivered twice a week Check and restock paper on printers within the office and pantry Manage the pantry by making sure it is tidy/stocked with cold drinks, tea and coffee Team Assistant Diary Management (scheduling meetings/calls) Organising travel such as flights, accommodation and taxis/private transfers Venue or restaurant bookings for meetings, offsites and other office events Processing corporate cards and out of pocket expenses claims/cost allocations Carrying out and organising projects required by the team Setting up interviews and distribution of CV’s for team’s recruitment needs Logging holiday in TimeTastic and ensuring it is as reflected in Outlook Qualifications and Experience Exceptional time management, professional and interpersonal skills Strong Microsoft Office, including Outlook, Word, PowerPoint and Excel Exceptional written and oral communication skills Confident and proactive approach Strong decision maker and resourceful, able to think on the spot
