HR Assistant Nottingham, NG7 2UT Working Monday to Friday 9am- 5.30pm, 40hours per week (excl. breaks) Salary depending on skills & experience The Company: Hyperama plc are one of the leading Cash & Carry and foodservice operators as well as leading importers and suppliers of Ethnic food in the UK. T he role: The role reports directly into the Group HR Manager and you will be responsible for providing HR support and assistance for all day-to-day activities associated with the HR department. This is a pure generalist role, requiring someone with strong administration and organisational skills. This is ideally suitable for someone looking for a responsible role in a fast moving environment or someone ready to take that next step from a HR administrator level. The role is based in Nottingham but will support the whole organisation, with circa 350 employees across four sites in the Midlands. This may at times involve travel to the other depots for training etc. Details of role & responsibilities: Coordinate and support companywide recruitment activity and processes, including placing job advertisements, application tracking, and interviewing/arranging interviews and liaising with recruitment agencies. You will also be responsible for the collation of the appropriate Right to Work documentation and ensuring the appropriate checks are monitored, actioned and maintained throughout the employees life cycle. Conduct and manage the induction programme for all new starters, including the production of all employment paper work, contracts, offer letters, driving documents, job descriptions and employment referencing and support this through to payroll. Provide advice and coaching support to all levels of management whether that is via phone, email or referral from an employee on all aspects of ER including attendance, performance management, disciplinary cases, recruitment and training & development. Monitoring and managing sickness absence across the group on all short and long term cases. HR Administration duties i.e. filing, producing letters, contract changes, management reminders. Coordinating the leavers’ process including, internal communications, notifications and exit interviews. Production of probation letters and diary management of 3 & 6 month reviews, annual performance reviews and other employee events. Maintain all HR records and databases Monitor sickness, absence levels, headcount , labour turnover, recruitment, KPIs , and provide monthly HR Board reports for the HR Manager and board of Directors. Support the HR Manager with disciplinary and grievance processes and be confident to coach and support the management team from start to end on these processes including all casework paperwork and notetaking. Participate in the development and delivery of training for managers and staff on all HR policies & procedures. Monthly management of rewards schemes such as Employee of the Month and service anniversaries. Maintaining company uniform stock: stock counts, issuing uniform, liaising with in house buying team and external suppliers regarding replenishment. Some project work will be involved to support the needs of the business i.e. employee engagement. Monitoring and implementing company leave policies, including but not limited to: Paternity/Maternity/Shared parental leave. Responsible for running the company payrolls when the payroll officer is on leave, further support may be required at key times, i.e. end of year, Pay reviews etc. Take responsibility for the HR department and activities in the HR Managers absence. This role will also involve maintaining relationships with third party providers, including but not limited to recruitment agencies, apprenticeship providers, pension scheme providers.
