Overview

Team Coordinator Insurance Brokers City 18k Main Responsibilities: • Booking divisional overseas and UK travel including flights, accommodation, transport in accordance with Company Travel & Entertainment Policy. • Maintain various divisional records, such as team whereabouts, calendars, travel and visitor calendars, gifts and hospitality and other records as required. • Production of client itineraries for events and visits to include a day-by-day agenda. • Typing of insurance documentation and minutes/action points at team meetings when necessary. • Co-ordination of arrangements for client visits and meetings with Underwriters including meeting room bookings, lunches, dinners, transport and hotels, client entertainment and assisting with refreshments as required. • Preparation of business communications to include assisting with the production, amendment and binding of presentations, reports and tenders. • General administration duties including any daily correspondence such as calendar invites, letters, e-mails, trip reports, meeting agendas and forwarding to relevant parties. • To take phone messages and relay to appropriate employees via e-mail in a timely fashion. • Co-ordination of corporate events, team building days and socials. • Reception cover for Receptionists lunch breaks when one is on holiday or absent. • To control all stationary supply and ordering, including presentational stationary requirements. • Actively communicate and be able to update relevant employees on your progress with work allocated. • Ad-hoc administration and project support.
