Overview

Conrad Finance are pleased to be supporting a leading Multidisciplinary Consultancy based in Central London. Due to their continued success and growth they are looking to recruit an experienced Practice Co-ordinator / Executive Assistant to join their established team The successful candidate will have previous experience gained in a project coordination / office management and some document control ideally within a Design, Construction or Engineering business, have a strong knowledge of InDesign and good communication and Excel skills. Accurate and timely copy/audio typing of correspondence, fee proposals and reports, using IT systems and checking that relevant QMS procedures/admin standards are adhered to Set up new bids and projects electronically Filing of appropriate incoming emails in line with QMS procedures and updating of information received via email, or onto server Collating drawings/documents for issue and Document control duties - (logging in documents/drawings) Document control on projects, including uploading drawings/documents and filing of complex technical documents to sites Preparation of drawing issue sheets and bids/tender documents/PQQs Monthly monitoring of jobs and supporting Project Managers to ensure forecasting data is up to date Work alongside all Project Managers in preparing invoices for accounts Support all Directors in financial monitoring and reporting for the division Prepare issue sheets and issue drawings/documents as required, including managing document control for project extranets Competently and efficiently answering the telephone and taking messages as required. Undertaking diary management and inbox management Booking places for events, breakfast meetings, seminars and workshops Carrying out internal audits in line with QMS procedures and consider opportunities for improving processes Supporting and liaising with Directors at a senior level Any other duties consistent with the job description that may be required from time to time Key Skills Excellent Excel and InDesign experience Previous project coordination experience Have a hands-on approach Excellent attention to detail This is a great opportunity to work for a growing and established business.
