Overview

Adecco are proud to be working with a well known company in Ashford who are currently seeking a Sales Administrator. The purpose of the role is to provide an effective administrative support service to the sales team and provide an important role between the other departments. Maintaining administration processes and liaising with clients to ensure the all processes are completed to the customer's total satisfaction. Key Responsibilities and accountability's: Create new and manage existing client records, ensuring that data held is current and ensuring all fields identified as mandatory are completed Handle and allocate initial sales enquiries to relevant person, raising account Liaise with clients to schedule appointments, enter details into diaries Process quote acceptances & ensure that kit list is passed to stock controller for ordering Arrange receipt of deposit payments, liaising with accounts for invoice to be raised and issued to customer Updating white board once acceptances/deposits received and kit ordered, job ready to start as relevant Send relevant paperwork to monitoring station to set up monitored accounts and order the necessary equipment Complete all paperwork for monitoring if required Ensure that key holders are requested and updated at monitoring station Ensure copies of drawings available if relevant, checked and signed off Advise engineers of kit ready to collect in advance of install Liaise with subcontractors regarding works Raise PO numbers, ensure they have relevant details and paperwork to complete works Complete all required installation paperwork Ensure completion paperwork is received, any paperwork to be scanned Pass customer details to Accounts Dept when ready for invoicing, including for any monitoring Match up subcontractor invoices with PO raised and sign off for invoicing Complete revised specifications where necessary and send amended copy to customer Send engineer marked up drawings to be converted to as-fitted and zone charts if relevant Send completed zone chart drawing to Supplier for making up Make up customer file if required with relevant documentation and drawings Update records ensuring future maintenance date monitoring invoice dates etc. are updated Complete Admin Advice Note and close down files once all paperwork is received and updated, pass to Office Manager for counter signing Carry out customer satisfaction calls and record replies Carry out follow-up calls on quotes sent Deal with customer enquiries by phone/email/occasionally face to face Action emails from the inbox Arrange for completed customer files to be available for audits (internal and External) Answer phone for customer enquiries Carry out customer satisfaction surveys Check Sales inbox and action emails accordingly Attend monthly sales meetings to exchange current work status with surveyors/technical manager/accounts/stores Assist the Admin Team in all areas Cover for others during staff absence Any other duties as and when required Working hours: 9am till 5pm Working days: Monday to Friday Salary: £18,000 Adecco acts as an employment agency for permanent recruitment and an employment business for the supply of temporary workers.
