Assistant to Partnership Secretary Part time / 9 Month Contract My client, an award-winning International Law Firm based in Liverpool City Centre are looking to recruit an experienced Assistant Secretary to help support the management team. Reporting to the partnership Secretary you will provide support to the management team to ensure it functions efficiently and in a manner, which meets its objectives and the ongoing needs of the firm. The role will involve coordinating meetings, diary management, admin support, booking travel and accommodation as well as the potential for project support JOB OVERVIEW The role is a flexible part time position working 20 hours per week for a 9 month Fixed Term Contract basis to cover maternity leave. You will be joining a small team providing a first class, streamlined support service to the Board, Executive and Partners within the firm. The secretariat also has overall responsible for business travel and works closely with internal travel bookers as well as our Travel Management Company. The team consists of three:- Partnership Secretary Assistant to the Partnership Secretary Administrator to the Partnership Secretary The successful candidate must have a flexible approach to work as there may be a requirement to travel and work outside contracted hours JOB DESCRIPTION Duties may include but are not limited to: Assisting the Partnership Secretary with ad-hoc administrative tasks; To provide a support service to the management team, including diary management and collating all relevant paperwork; Arranging travel, visas and accommodation, ensuring that policy guidelines as adhered to; Dealing with monthly expense claims; Meeting and greeting visitors at all levels of seniority; Screening telephone calls (enquiries and requests) and handling them when appropriate; Helping with the organisation of the AGM and attending the same; Devising and maintaining office systems including filing and data management and stationery supplies; Dealing with incoming mail and responding where appropriate; Ensuring appropriate systems and processes are developed and maintained to support effective and efficient day to day running of the management team; E-mail monitoring Minute taking Providing cover for other team members where necessary i.e. holidays.
