Deeds Administrator Adecco are recruiting for a fantastic customer-focussed Deeds Administrator role for our large corporate client based in the City of London. Experience with property deeds is highly desirable Working Hours: 09:00 - 17:30; Mon - Fri Pay rate: £11.30 p/h This assignment will run from 2nd March 2020 - 1st May 2020 however it is highly likely to be extended. Reporting to the Deeds Team Manager, you will be providing a deeds management service to the Real Estate Partners and Associates. The role will involve deeds scheduling; the creation, updating and management of extranet sites; and requesting and updating deeds packets. The work undertaken by the role holder is completed in line with the Service Level Agreement and Statement of Work. Responsibilities: Customer Service To demonstrate pride and professionalism in all aspects of customer service To develop excellent working relationships with clients, demonstrating strong communication skills To consistently exceed client expectations by providing outstanding customer service To relate accurate information to users on the progression of their work To seek feedback on client satisfaction To build relationships with clients and manage their perceptions and expectation. Operational efficiency Scheduling deeds and updating deeds packets as requested by clients Checking incoming deeds against schedules prepared by counterparty's solicitors Ensuring the tracking of deeds packets as they travel around the site Assisting Partners and Associates with the creation, updating and maintenance of extranet sites Requesting and returning deeds to/from storage Creation of new deeds packets and entry of records onto the records management system Undertaking project work as directed by the Partner or Associate or the Deeds Team Manager Use of various records management systems and software packages Active management and manipulation of deadlines to ensure a high level of service delivery and offering alternative solutions when necessary Continuous improvement To comply with the Client Account Procedures Manual (CAPM), SLA's and H&S regulations Capture and relay to the relevant teams all action points arising from customer feedback and team meetings ensuring continuous improvement to customer standards Drive Best Practice standards within the Deeds Management Team. People management and development Ensure effective two-way communication with the team and clients Work together with the management team to help maintain a productive working atmosphere, which promotes teamwork and commitment to daily production Support Xerox culture by living the values and leading by example Planning and organisation Record time accurately in relevant systems Prioritise work appropriately and in line with agreed deadlines Maintain a tidy work area and implement a clean as you go policy Health & Safety To be aware of and maintain safe working practices related to H&S and COSSH regulations 1988 and Manual Handling policies Skills & Knowledge: Proficiency with Excel, Word and Document and Records Management Systems Basic understanding of Real Estate practice and the legal industry Fast and accurate typing skills Display meticulous attention to detail Have the ability to communicate at all levels Competent to work independently or as part of a team Personal Standards: To Abide by the corporate values in the workplace To be outwardly professional toward all clients To always treat colleagues with courtesy and respect To adhere to the uniform guidelines.
