Overview

Part Time 3 days a week - (must be available Monday and Wednesday) Start ASAP for 6 Months We are recruiting for an experienced Personal Assistant to join one of London's leading Universities. If you have previous experience gained within a Higher Education institute, we'd love to hear from you MAIN DUTIES: PA Support Provide dedicated administrative support to Seniors, including diary management, managing and coordinating travel and accommodation. Planning, coordinating and organisation of internal and external meetings and visits, ensuring appropriate catering and location arrangements are in place, receiving visitors and arranging hospitality including invoicing orders Provide daily papers and itineraries etc. in advance of meetings, as required. Drafting correspondence and other documentation, formatting reports, and dissemination of documents as appropriate. Financial activities such as processing purchase orders and expenses. Provide support for research and teaching activities such as preparation of papers, research grants, producing PowerPoint presentations and lecture notes; use of internal systems Provide administrative support by organise and maintain the file-storing system Aid on the induction of new staff Assist with the preparation of the required documents for onboarding and payment of staff and temporary workers. Provide a first point of contact for staff, students, visitors and external stakeholders; advising staff on internal processes; dealing with telephone and email enquiries, monitoring and responding as appropriate. Provide administrative support during the Academic workshops and Invited Lecture Series Assist with the facilitation of meetings (both internal and external) including contacting attendees; booking rooms and refreshments; servicing meetings co-ordinating agenda, minute taking and all preparatory and post meeting administration. Communication - Networking Assist the line manager with the organisation and running of events as required. Assist the line manager in producing dissemination material (i.e. presentations) to showcase department to a range of different potential partners. Keep website and social media accounts updated. Create, manage and keep constantly updated the database of contacts. PERSONAL SPECIFICATION Minimum of 5 GCSEs at Grade C or above (including Mathematics and English Language) or equivalent, or having acquired relevant experience in administration Minimum of 2 A levels at Grade C or above, or having acquired relevant experience in administration Proven experience of providing effective PA support in a complex organisation, including the effective management of a complicated diary, taking notes of meetings, and ability to transcribe notes accurately and clearly Experience of processing invoices and expenses using online systems Experience of the Higher Education sector Excellent communication skills (written and oral) and good interpersonal skills and the ability to deal with a variety of people Excellent IT skills and a proven competency in the use of Spreadsheet, Word Processing, PowerPoint, email, Web based applications, databases and web-based applications Strong interpersonal and problem-solving skills including the ability to build successful relationships and collaborate and contribute towards maintaining a positive work environment Excellent administration skills and a highly proactive approach to providing a comprehensive administrative service The ability to answer telephone enquiries and draft correspondence, minutes and summaries in a clear, concise and logical format, whilst maintaining an acceptable level of accuracy and attention to detail Ability to work independently, proactively and as part of a team, with a flexible approach to changing priorities Self-starting with demonstrated use of initiative and able to produce high levels of accuracy and attention to detail Flexible approach to working including the ability to take up news tasks when required Due to time constraints and the number of applications we will only be able to respond personally to successful candidates.
