Overview

We’re recruiting on behalf of a global leader in executive search for a talented and experienced Executive Assistant who will be accountable for managing the organisational and operational day to day running of all arrangements and project co-ordination in support of the CEO. You will ensure that the CEO is able to work with maximized productivity and efficiency. Key Purpose: Is a trusted counsel for CEO Pre-empts and plans ahead diary and schedule in order for CEO to be able to work with greater productivity, ease and efficiency Provides a strong, emotionally intelligent perspective and outlook Plans and directs all administrative and operational activities for CEO Management of daily operations of CEO’s office Acts as a representative for CEO when required Works on and manages special projects for CEO as and when required Key Responsibilities: Diary Management Thinking holistically around CEO’s schedule and what is required each day Helping the business operations team to take a holistic approach on organisation and scheduling Organising CEO’s paperwork and office generally Bringing data together for Client proposals and helping to create finished article Creating presentations for Clients / new business Creating a yearly business agenda including travel, events, meetings and work with Personal PA to incorporate private events Organising business travel and agenda Business development - managing CEO’s meetings / calls and reminding her to follow up after meetings Account management - communications with clients and candidates on CEO’s behalf Managing internal team meetings incl. agendas, minutes, follow up actions Thinking around and planning client entertaining / events / seasonal gifts Communications with potential clients / PE / VC Board correspondence Admin for Leadership Assessment and reporting Core Skills Required: Excellent verbal and written communication and outstanding interpersonal skills Ability to communicate at all levels from "C" level downwards Ability to build strong rapport and create long lasting relationships at all levels whilst also able to assert own needs Excellent attention to detail Strong IT skills including Word and Excel Ability to multitask and prioritise as running multiple projects at any one time is required A flexible approach to hours when working to deadlines and across time zones An understanding of foreign travel planning Ability to perform and deliver under pressure, working to deadlines in a constantly changing environment Ability to maintain an energetic and enthusiastic outlook particularly during times of high pressure High emotional intelligence and empathy with the ability to anticipate, read and understand other people’s needs and pressure points Developed intuitive skills and a consistent drive for excellence A 'work smart’ attitude and an efficient approach to problem solving We regret that due to the high volume of applications we are unable to reply to everyone.
