Overview
FANTASTIC OPPORTUNITY to join this fast growing and successful business as Sales Co-ordinator . Providing full support and contributing to the success of the sales team, duties include: Manage and act as a first point of contact taking incoming calls into the office for the Sales Team. Process sales leads coming into the office from various channels including the website. Monitor sales leads along with pipelines and liaise with the Sales Team to ensure continued activity within set timescales. Ensure that all sections and stages of the sales process are fully completed by the sales team to secure reporting data for management information. Carry out various data checks on Dynamics in relation to the sales process covering discovery questioning, the buying process, budget quotations, activities and meetings processes ensuring all data is captured. Manage the administration process for all trials ensuring all relevant information is captured effectively. Manage any trial data footage and create specific trial videos for customers on request and ensure these are stored correctly and visible for the customer. Prepare and quality check sales order proposals along with any supporting documentation materials for the sales team for any errors and omissions. Organise and maintain effective electronic sales and customer filing systems along with carrying out file documentation checks for compliance. Liaise with credit control to ensure that all leads at qualified question stage are credit checked accordingly. Coordinate with the projects team and aftersales team to ensure related information and data is captured for all activities at the opportunity phase to set timescales ready for the sales proposal stage Ensure all documentation falls in line with the company branding guidelines and ensure corporate image is maintained and consistent. Ensure adherence to any procedures and policies set within the company. Proof-read and quality check all documentation and data being stored. Continually look to improve any internal processes within the role. Responsible for meeting your own goals and targets set within the organization. Carry out daily data quality checks using specific reporting documentation Provide high quality secretarial and organisational support. Effective management of electronic diary and emails. Organise Sales Directors travel arrangements, expenses and sales projects Update on upcoming deadlines and pending actions. Liaise with PR and Marketing Manager and coordinate PR and sales activity materials to particular deadlines. Track all marketing responses from live marketing campaigns Ensure that sales pricing entries are continually updated in regards to costings and any key information changes for consistency. Obtain updated price lists from Head office and ensure these are being used in house. Coordinate the sales criteria of any showcases, roadshows or other corporate events. Upload any bulk lists from showcases, exhibitions, corporate events and create views for follow ups. Print out any sales related booklets or documents that are requested by the Sales Team Prepare sales presentations for potential customers on request. Request purchase orders where necessary for the Sales Team and ensure these go through the correct channels and are processed accordingly to agreed deadlines. YOU: Previous experience in a sales driven environment ie supporting a sales team and senior management level Strong proficiency in Microsoft products Comfortable inputting and interpreting data to draw sensible conclusions Skills and knowledge: Attention to detail and high level of accuracy Ability to be self-sufficient in organizing and prioritizing work loads Excellent time management skills in a fast-paced environment Ability to manage the efforts of multiple people to achieve desired results Excellent verbal and written communication skills Strong problem solving ability and to be able to provide solutions to challenging situations.
