Business Title: Project Coordinator Auto req ID: 9686BR Regular / Temporary:: Temporary Country: United Kingdom Overall Job Summary: This is a 6 months fixed term contract A Project Co-ordinator position where previous experience of multiple line project management is not essential, but where enthusiasm and a willingness to learn are paramount. This demanding role requires an individual with proven administration and communication skills. This role is a pivotal part of the team and requires an individual who does not shy away from constant change in a demanding and fast paced environment with the ability to multi-task. Main Purpose of the Job * To efficiently assist the day to day workload of the Senior Project Manager and Project Management team and ensure tasks are delivered on time in full. * To welcome guests and visitors into the office and ensuring the office is keep fully equipped and stocked up for the day to day running. Job Responsibilities: To support Senior Project Manager in all aspects of administration. * To have a clear understanding of all internal and external procedures relating to Schawk and client including critical paths and deadlines. * To support and cover reception duties where necessary. This includes taking and directing calls in a timely fashion and welcoming clients who enter the office in a friendly and professional manner. * To ensure all work is carried out within the client process. * Provide additional support to the Project Management team in terms of booking in on MIS, briefing, amends management, uploading PDFs, dispatching files, creating time plans, status reports and colour standards. * To independently manage the post and all courier requirements for the Witham accounts if necessary. * To support the teams in all admin duties including: uploading and transferring files on the server, photocopying, binding presentations, filing putting together mock ups. * To ensure that all details on the MIS are correct at the time of briefing. * To complete pre-booking within timescales as requested by the account manager. * To ensure efficient and accurate information is conveyed to all relevant departments in the form of an accurate brief. * To be responsible for prioritising your work within a varied client base and effectively managing your time to ensure deadlines are met. * Maintaining a professional and corporate awareness when dealing with internal colleagues and external clients. * Provide support with the maintenance of clients systems. * To manage or assist with small projects as and when required which will include communicating with Client contacts at all levels. Team Responsibilities * Attend training sessions with Senior Project Manager as part of development and progression plan. * Be a positive and calming influence in the team and ensure that team members maintain a professional attitude. * Build a strong relationship with the extended team at the studio * Buddy team members for holiday and sickness.
