Department Overview We are one of the world's largest investors in renewable power, with 18,100 megawatts of generating capacity. Our assets, located in North and South America, Europe, India and China, comprised a diverse technology base of hydro, wind, utility-scale solar, distributed generation, storage and other renewable technologies. Role Overview This position would suit a highly proactive EA who is flexible with excellent organisational skills, and proven experience operating in a fast moving, growing professional services business. Key Responsibilities * Management and co-ordination of a number of diaries. Liaise with Reception to arrange meeting rooms and hospitality as required * Coordinate frequent and often last minute travel and accommodation requirements * Produce visa documentation when required for the team's overseas travel * Arrange and prepare for meetings, including preparing power-point presentation and documentation packs, and IT set up for video conferencing * Compile and submit expense reports each month in line with company policy * Minute taking and production of action points from meetings * Draft and co-ordinate correspondence, meeting agendas, minutes of meetings, presentation material etc * Co-ordinate the weekly team meeting and prepare the business development tracker. Develop a good understanding of what the teams main focus will be. * Filter and manage incoming telephone calls and e-mails and respond on behalf where required * Support for Senior Managers visiting the office from overseas * Act as the first point of contact for the team * Sort assigned post and deal with routine enquiries and confidential correspondence, drafting replies where possible * Updating and keeping archive and document registers up to date. Arranging filing and archiving where necessary * Keeping files of key contacts up to date and accurate at all times * Maintain confidential files for Senior Management * Assisting with processing of invoices. * Ensure that company standards are met regarding documentation processes * Provide support to other EA's and admin staff in quiet times, absence and holidays etc. * Any other ad hoc duties as requested by your line manager and/or Director(s)/Manager(s) Technical Skills * Excellent organisational skills * Excellent knowledge of Microsoft Outlook, Word and PowerPoint * Excellent communication skills * Proactive and able to work on own initiative, decisive, resourceful and quick to see the priorities * Attention to detail * Flexible and adaptable * Resilient, with strong team focus At Brookfield, we care about your privacy and strive to protect Applicant Data throughout the recruitment process.
