YOUR TASKS Overall Role Purpose: We are looking for a dynamic, committed individual who works well within a team whilst also being perfectly comfortable undertaking duties with minimal supervision. The successful candidate will be joining small, but growing, Customer Support team. Their focus will mainly be in the Transport section, but will also provide support and cover for all of the teams' tasks. Working in transport has a varied and diverse scope of tasks that will utilise a range of skills and give opportunity to develop and excel. As the title suggests great coordination skills are paramount, alongside superb attention to detail. These key skills will be supported by excellent interpersonal and communication skills, attention to detail is essential as is the ability to adapt and learn on the job. Transport Responsibilities: Coordinate daily transports, including export & import vehicles Be the point of contact for our Customers and Suppliers Be confident in handling calls and emails from supplier and customers alike Liaise with other departments/divisions both in the UK and EU, as required Log, check and resolve queries with Transport purchases and invoices Create and maintain operational task planners Communicate issues, resolutions and updates to the Transport Manager Provide reports for Transport Management Proactively provide information on loads and transport details Take the initiative to propose improvements to processes and performance Maintain secure electronic and manual filing systems that allows for efficient retrieval and review Manage and maintain any transport spreadsheets & logs, as required Undertake project work and other relevant ad hoc tasks as directed Assist with daily administrative planning Other duties as the role develops Customer Support: Handle general Customer queries (via phone and email) Deal with Customer parcel queries, from enquiry to final resolution Generate and analyse daily, weekly and monthly KPI Reporting Process Claims Resolve ad hoc customer issues efficiently Liaise with other departments as necessary General administrative tasks Create or update process manuals Other duties that arise due to Customer needs YOUR PROFILE Would have a passion for logistics, customer service and admin tasks. With your positive personality and enthusiasm you always look on the bright side and rise to challenges faced. You thrive on using your initiative and are flexible and creative in your approach to problem solving. Multitasking comes naturally and are comfortable working with different people across multiple communication channels, whilst constantly reviewing and prioritising your work. You are both conscientious and reliable and able to adapt positively to the changing needs of the business and our customers. Would be comfortable and capable of representing DHL Cross Border Solutions UK in a professional manner at all times. There may be a need of very occasional travel to customer meetings. Key Skills and Experience Possess excellent Outlook and Excel skills alongside a working knowledge of PowerPoint and Word. Excellent customer service skills with the ability to present and articulate verbally and written information to customers. The ideal candidate must have some form of Transport experience & knowledge in a similar environment. Good geographical knowledge is desirable. Be able to work under pressure and prioritise tasks efficiently Be calm under the pressure of deadlines to ensure accuracy is not lost in favour of speed Confident in dealing with internal and external customers in a polite and professional manner, especially when there is a difficult situation to deal with.
