People Business Partner Professional, Associate London The focus of this role is to provide full administrative support to the People Business Partner team, aligning to one - two of our communities. This role provides an excellent opportunity for someone with a keen interest in HR and business partnering who is looking for a varied and busy administrative role. The role holder will have strong organizational, prioritization and administration skills and be comfortable working as part of a team, as well as individually under their own initiative. The successful candidate will need to anticipate the administrative needs of the team and be confident in responding to employee queries and suggesting process improvements. The role will include but is not limited to: Strategic Business Partnering * Build an awareness of the firm's strategy, communities, geographies and culture, and in particular how they interact with the EMEA Corporate Services teams. * Support the Head of People in EMEA with the implementation of an annual plan and the preparation of supporting documentation for appropriate initiatives. * Provide support in the creation of quarterly performance and people metrics, and communications appropriate to EMEA Corporate Services. * Develop strong working relationships with the EMEA ODHR team and other EMEA Corporate Services teams. * Ad hoc project work to support the wider People team as and when required e.g. Pulse Survey, Diversity and inclusion. Core administration * General upkeep and maintenance of relevant shared drives. * Ownership of general administrative support including scanning, printing, binding, organization of internal and external meetings, booking rooms, production of reports, spreadsheets, documents, analysis and slide decks. * Track People team travel budget and report quarterly to the Head of People. * Archive and maintain filing systems to ensure UK legislation and compliance. * Support the team to run reports or generate metrics. * Any other firm or team related requests deemed appropriate. On-boarding and off-boarding * Draft new joiner and leaver emails. * Schedule PBP new joiner check in meetings. * Track the end of probationary period meetings for new hires and ensure timely notifications to the PBP team. * Liaise with People Operations colleagues on the co-ordination of the induction programme for new joiners and participation in the firmwide two-day orientation session. * Monitor the upcoming separations tracking for contingent workers (ICs and Temps) and highlight key dates. * Schedule exit interviews and responsible for Alumni leaver process. Career Development and Performance Management * Support the team with performance management administration, maintaining accurate logs of returned review forms and objectives, mentor and career coach lists, cross checking documents, scheduling mid-year and year-end meetings and printing supporting documentation. * Drafting employee communications and reminders. * Preparing performance review summaries for moderation meetings. Training * Liaise with the learning & development team to ensure training courses are booked and logged accurately. Reward * Assist with the year-end salary review and bonus process for EMEA including managing Excel spreadsheets, cross checking, organizing internal meetings, checking letters and paperwork etc. Retention * Support with pulse survey and exit interview analysis and identifying themes. Education | Work Experience | Knowledge and skills needed for this position: Background and qualifications * Ideally, a bachelor's degree required but not essential * Previous admin experience in a professional services environment * English fluency necessity and additional languages are a plus * Intermediate levels for Word and Excel * Advanced levels of PowerPoint knowledge are needed in this position.
