Then look no further. We are looking for a new Client Services & Executive Assistant to support our team and ensure clients achieve their aims. You will manage mostly business, office & client related tasks for the team such as creating reports, organising travel and accommodation, taking minutes, and other organisational tasks. For clients, you will be ensuring that their applications are ahead of curve and that we have everything ready for them before they even know they want it as well as constantly being in communication with them. To do this role properly you should have a detailed understanding of the full Microsoft Office suite or Google Apps, be extremely fast at solving problems and have experience as an executive or administration assistant in the past. Client Services & Executive Assistant Responsibilities: * Preparing financial statements, reports, memos, invoice, letters, and other documents. * Answering phones and dealing with client queries as well as routing calls to the correct person or taking messages. * Handling basic bookkeeping tasks. * Filing and retrieving records, documents, and reports. * Researching and conducting data to prepare documents for review and presentation by directors, executives, other members of staff & 3rd parties. * Helping prepare for meetings. * Accurately recording minutes from meetings. * Greeting visitors and deciding if they should be able to meet with team members. * Using various software, including word processing, spreadsheets, databases, presentation and other software. * Creating videos, presentations and other media for consumption by other members of staff and clients. * Creating and executing on strategic plans and organisational goals. * Reading and analysing incoming memos, submissions, and distributing them as needed. * Making travel arrangements for team members. * Performing office duties that include ordering supplies and managing a records & databases. * Experience as a virtual assistant. * Opening, sorting and distributing incoming communications, emails, and other correspondence, including social media. * Provide general administrative support. Executive Assistant Requirements: * Proven experience as an executive assistant or other relevant administrative support experience. * In-depth understanding of entire MS Office or Google Apps suite. * Ability to organise a daily workload by priorities. * Must be able to meet deadlines in a fast-paced quickly changing environment. * A proactive approach to problem-solving with strong decision-making skills. * Professional level verbal and written communications skills.
