Job Description: Coordinator, People Advisors, EMEA Dow Jones, a leader in the global media industry, seeks a Coordinator, People Advisors to work as a partner to our global business units. People Coordinators support the evolving needs of the business. Position Summary Reporting to the Director, People Advisors, the Coordinator, People Advisors will support the administrative and operational needs of a busy, fast paced People function. Responsibilities + Provide front line support to employees and managers covering all aspects of the employee life cycle (ELC). This includes answering all of their day to day requests. + Ensure the HR Portal is fully up to date and always drive our employee population to utilising it. + Onboarding of new joiners including payroll audits, onboarding paperwork, right to work checks and first day HR welcoming and inductions. + Own the timely processing of invoices in relation to immigration and benefits including the creation of POs via SAP. + Ensure policies and all ELC related templates are up to date and comply with the law in every location. + Conduct regular Workday / Payroll audits and work towards having a fully automated Workday / Payroll process without the need for supporting documents. This will include audits of payslips / vacation time / allowances / seniority bonuses / payroll cycles in every location in EMEA and working with People Operations to work towards having these in Workday. + Audits of all EMEA country policies and working with the People Business partners to bring any that are not, into compliance. + Manage our EMEA HR employee files, ensuring compliance with local requirements in all of our EMEA countries and compliance with GDPR regulations. + Assist in the recruitment process and create job requisitions in Workday as and when needed. Follow up on the required approvals including Workday, and communicate updates to the hiring managers promptly. + Assist the Generalists, where appropriate, with the management of probationary periods, onboarding and absence management such as maternity/paternity leaves, sick leaves, voluntary leaves and off-boarding in accordance with EMEA requirements. + Play a key role in regional projects to improve the onboarding experience and ensure we have a global standard when it comes to all aspects of the ELC. + Support the People Business Partners and EMEA People Director on ad hoc requests. + Work with the Benefits Manager to ensure annual processes for pension payments and other payroll related benefits are as automated as possible and that Workday is utilised to any extent we can. Ensure any manual processes are mapped out and have a clear owner. Qualifications include: + Approachable, confident and credible style of engagement + Excellent attention to details + Problem solver and agile learner + Organizational skills + Tech skills including G-Suite and Workday + Comfortable working with HR information and data collection and reporting requirements. + Proactive team player, responsive, flexible, and be able to work under pressure + Excellent written and verbal communication skills + Ability to work in a fast-paced, collaborative team environment + Proficiency in speaking German, French, or Italian are advantageous. Education + Secondary school diploma or equivalent. Bachelor's degree preferred.
