Job Description
Location: Pearlfisher London This is: A crucial role to ensure personal support in the smooth running of the Pearlfisher London business. We need you to: Become the personal representative of the 6 members of the Leadership Team in supporting them in day to day and representing and building their personal profiles to positively impact business performance. You will be providing high-quality assistance to the Leadership Team, proactively identifying and addressing priority tasks and needs for them to ensure the company runs at peak performance. This role requires the highest level of: Communication skills / Business proactivity / Positivity / Common sense / Flair You will show us that you have: + Experience or capability of working as an PA at a high level. + An entrepreneurial and business optimisation track record. + Experience or capability of working within a creative or similar, challenger brand environment + Excellent attention to detail with impeccable organisational and planning skills. + The ability to work independently with minimal supervision. + Exceptional decision-making and problem-solving skills. + Experience with supervising others. + Strong communication skills, both written and verbal. + Experience with writing and posting content on social media platforms from a business perspective. You will definitely need to be: + A self-starter with a positive 'can-do' attitude. + Able to bring your initiative to new ways of working. + Positive, patient, calm and good-natured. + Able to demonstrate common sense, good judgement and authority in pressured situations. + Someone who understands the importance of discretion and confidentiality at all times. + Able to deal with external and internal people at a variety of levels. The bare minimum we need from you is: Some experience working as a PA, preferably with office move experience, or within a creative agency or challenger brand environment with an international dimension. And the technical skills we?d appreciate are: + A good understanding of MacOS + Advanced level PPT, Word and Excel skills + In-depth experience of Google apps/G Suite The role in detail i. General support to the Leadership Team Email and diary management, including composing and sending of emails on Leadership?s behalf. Fielding/directing calls and emails, passing on messages, advising Leadership of urgent requests, proactively prioritising their workload. and ensuring that all enquires are dealt with in a timely manner. Organising effective monthly Leadership meetings. Organising meetings, writing agendas, taking and circulating meeting minutes as requested, ensuring that all actions are followed up and completed by other team members within agreed timeframes. Ad-hoc creation of documents (Word, Excel, etc.) and presentations (PowerPoint) that are in keeping with brand guidelines, ensuring attention to detail and standards are maintained. Making travel arrangements and ensuring Leadership members have everything required for each trip. Submitting and managing all expense claims, ensuring expense claims are submitted quickly, thoroughly and correctly reimbursed. General administrative and clerical duties; proactively, intuitively and under direction. Identifying and implementing strategic policies and procedures to streamline working practices. ii. Project management Supporting with and managing business projects as required, for example, those identified by you to streamline working practices , and support In office move logistics including: + Maintenance and liaising with contractors + Snag listing new office building + Managing the fit out iii. People support Organise induction timetable for all new employees. Help organise and capture notes for 1:1 time with direct reports Make sure leadership are aware of any upcoming reviews, probations, work anniversaries for direct reports iv. Event & meeting management Organising or helping to support company meetings and events such as speaking and communications platforms, Christmas party, anniversary celebrations. Arranging and project-managing CEO/Leadership client entertainment within a set budget. Keeping abreast of new venues, restaurants etc for client entertainment. v. Other Alongside Concierge, managing company car and building maintenance. Reporting structure You will report directly to Pearlfisher London?s Finance Director and will provide PA duties to her and the Creative Director, Chief Strategy Officer, Futures Director, Strategic Development Director and Business Development Director.
