Global Tech firm are looking for an Executive Assistant to support their CFO in their brand new office Your new company This global tech firm have recently relocated to Victoria and are now looking for a personable Executive Assistant to support their CFO. They have a lovely new office based in Victoria and you will be joining their collaborative PA team. They provide a variety of Data Centre's across the globe and are expanding rapidly. Your new role Provision of broad and effective EA support including complex diary management (across several time zones), meeting room co-ordination, arranging hospitality for meetings, minute-taking for meetings, preparation of board presentations, client letters, messages and emails as required, ensuring that priority is given in a diplomatic and consistent way. Full preparation of various Reports, including editing, printing, collating, binding, and circulation on an ongoing basis. Ensuring reports are prepared to meet necessary timelines, and corporate standards Data entry and budget allocation of invoices into the accounting system. Keeping an up to date and workable filing system. Responsible for ensuring all documents are filed and updated with an effective index system, and that files are archived as and when necessary using the company's archiving system. Assist with planning internal business team meetings and corporate events. Involvement in the effective co-ordination of external functions including marketing and company social functions liaising as necessary with the relevant departments and ensuring company processes and standards are followed and maintained in doing so. Manage, coordinate, and arrange senior executives' travel and travel-related activities, including visas, language translators, hotel bookings and transportation. As 'Authorised Travel Administrator' ensure all travel bookings are made in a timely way, in compliance with the company Travel policy. Training new starters on how to use the booking system and keeping all traveller profiles up to date. Establish a relationship with the Asia Pacific support teams and the travel What you'll need to succeed You will need to have supported board level executive previously, have the ability to work collaboratively with other EAs and an understanding of internal finance functions. They are looking for someone that is flexible, adaptable and proactive with their approach. Proven ability to handle highly confidential information appropriately.
