Overview

This is a great opportunity for PA who is looking for their next step up to support 'C' Level suite individuals. My client who is a very well established wealth management company based in Mayfair is looking for a very well presented, spoken, articulate and bright individual to provide secretarial support predominantly to the CEO and adhoc support to the Chairman. Ideally you will be a self-starter who is confident, able to work on their own initiative, take minutes at meetings and will be able to build good working relationships with internal and external individuals. Duties will include: Extensive diary management and all that involves, including liaison with family to ensure work and personal diary co-exist efficiently Preparation of relevant papers and packs for all meetings, to include information on who is attending, the subject of the meeting and any agenda that may be available. All administration related to the day to day management workloads Involvement and understanding of the wider management team workloads to assist and support the Management team to ensure timely reporting to the Management, Strategy and Partners meetings. Diarisation and co-ordination of all Management, Strategy and Partners meetings. This includes making sure that minutes are produced and circulated in a timely manner To assist with projects Expenses - monitoring of and timely submission of any expenses, ensuring compliance with the Gifts and Entertainment Policy Take responsibility for the minutes of the Risk and Data Security Committee Be the contact point between the business and the external Company Secretary, carrying out all internal tasks related to the role. Be responsible for the administration of the company's charity trust Additional responsibilities as required In-box management Booking travel, lunches and events All correspondence and related filing (paper and electronic) Scheduling staff presentations Working with HR to ensure that the staff appraisals involving the CEO are completed in a timely manner Skills and experience required: Proven track record of secretarial experience within boutique FS firm Discretion and confidentiality
