Personal Assistant Buying Department
Overview
This is about providing invaluable support to your Director, managing the systems and processes in your area to keep things running smoothly. You'll play a key role in ensuring an efficient and co-operative working environment. It'll involve day- to-day organisational work, data processing and analysis. Naturally, you'll need to be on the ball and well organised, with excellent attention to detail and a willingness to learn. We do things our own way at Aldi. But whatever we're doing, we must be getting it right. With a wave of impressive sales figures behind us, we're opening new stores at lightning speed. And to keep on top of that wave, we have to do something pretty special to keep our customers coming back for more. An opportunity has arisen to join a highly motivated team, all of whom have a drive for implementing within the Business at every level, in particular the stores and buying departments. This is a mid-level role in an area that receives a lot of attention, across the business as well as externally. You'll be on the front line, delivering new and exciting initiatives, that change the way an organisation operates. Responsibilities: • Arranging UK and International travel, including flights, trains, hotels, airport parking, managing itineraries and booking meetings. • Long term calendar management ensuring annual activities run smoothly (meetings, planning & preparation) and schedule review to ensure on-time delivery of key pieces of work • Managing Outlook inbox • Ensuring actions and information requests are followed up appropriately • Researching, sourcing and general preparation for any events or meeting • Building and maintaining excellent relationships and communications with a multitude of contacts and stakeholders, internally and externally • Regular handling of confidential and sensitive information with the upmost discretion • Collating monthly UK and international expense claims • Supporting Director with external stakeholders, Senior Management and visitors and preparing for visits. Planning, coordinating and managing meetings including booking meeting rooms, providing refreshments, IT set up and agenda preparation • Supporting the inductions of new Managers and Assistant team members • Proactively identifying opportunities to improve current processes and increase efficiency and effectiveness within the teams • Managing projects through to completion on behalf of Director Skills, Attributes and Experience: • Advanced Word, Excel and PowerPoint skills • Several years relevant experience working as a Personal Assistant at a senior level • Good working knowledge of how to put presentations and briefings together • High level of attention to detail and time management skills • Ability to understand and anticipate needs to ensure appropriate outcomes • Ability to remain confidential and professional with sensitive people related data and information • Pro-active, exceptionally well organised and able to prioritise, communicate and manage expectations on delivery • Able to work and deliver under own initiative and build support networks • Confident, professional and articulate • Able to liaise & build relationships with people at all levels • Able to influence • Flexible in approach and ‘can do' attitude • Calm and resilient under pressure
