Overview

Purpose of Job: - The prime purpose of the role is to lead on the strategy of the management and commercialisation and growth of the facility operational team and services that deliver to the current estate where the client (LBB) requires a facility service. The Lead Facility manager will continually be developing the facility services, shaping it and assessing performance against goals for the team, developing and building a sustainable, customer focused service across the Civic Estates in line with CSG output specification and any new client requirements which has been approved by Capita commercially. Key Accountabilities Planning and implementing the management of CSG output specification and any other client specification approved by capita. Ensure that all health and safety requirements for buildings that are occupied in core hours as well as out of hours are compliant. Have systems in place to report near miss and RIDDOR. Write reports, bidding documents for works that does not come under business as usual. Reviewing systems and the contractual KPI's. Providing and developing a cost effective, commercially viable service solution. Development of service level agreements and PI's for the facilities service Provide supporting guidelines for senior management decision making. To provide appropriate support for managing processes that will deliver consistency in the service and improvement for the client and customers that depends upon the service Supporting the development of the team long term organisational strategy in line with Capita core values Put system in place for organising trends and operational effectiveness. Promote the activity of the team by Identify any threats that may arise and any opportunities for the team to evolve aligned with the clients' requirements. Identify opportunities for the expansion of the facilities service beyond the civic estate. Role Specific Responsibilities The Lead Facility manager is to create a successful team that delivers the core responsibilities through concrete steps that will enable managers and employees to accomplish their duties from a strategic and operational prospective. The Lead Facility managers duties are not only limited to the following: Develop realistic Goals Develop a positive culture within the Facilities team Bench mark the service with other providers Validate steps that will achieve improvement to the service Carry out customer surveys of buildings managed by the facility team and act on findings to develop high levels of customer satisfaction. Reviewing Data monthly/annually and provide comprehensive recommendations. Manage stakeholder's expectations (Staff, unions, councillors and Leader) Organise monthly meeting for main office (Colindale for stakeholders) and other sites as required. Carry out monthly meeting with facility operation managers and ensure that they are delivering effectively the goals set. Have monthly meeting with the team and ensure that they are delivering the service effectively Attend senior management meetings as and when required Ensure where procurement for service, works and equipment is required that systems are in place within the facility team to ensure that delivery can be achieved within the timescale. Lead on Facility Project management works ensuring that correct evaluating and completion of operational project is delivered on time. Develop strategy for evacuation of buildings managed by the Facility management services. Have systems in place to manage Health and Safety, compliance and coordination with other areas of the business to ensure buildings are safe. Manage budget Deputise as and when required for Head of Building Services. Liaison with the Building Services team for maintenance and management of the Civic Properties. Developing accommodation strategies and supporting change management within the business The ongoing development, management and maintenance of a suite of safe systems of work and risk assessments commensurate with the team activities. To deliver and support accommodation moves and changes through the Facilities and Building Services Teams to support the changing operations of the building occupants.
