Overview

IT Procurement Assistant This position sits within a team of commercial procurement specialists within Hiscox. You will be working with the IT Commercial team and the wider Group and enterprise Services team supporting and collaborating on day to day administrative tasks. Within this role we would like you to take on administrative responsibility for maintaining and updating our internal vendor management system (VMS) with correct contractual, legal, GDPR and financial data. We are also going through a technology change project at present and we would want you to be part of the migration from our existing procurement VMS to our new VMS (Spring) and ensure that the mirroring of all vendor contracts (final editions as well as prior agreements) are copied to the new system accurately. You will also be required to upload and catalogue new vendor agreements as they become available. Over time we would hope that you evolve to become the SME for our VMS and become comfortable uploading contracts, dealing with enquiries, queries and searches as well as system updates, patching and regression testing as new versions of the VMS arise. Further to your administrative role we are looking for an individual that can assist in day to day procurement activity. This will include: Sending out campaigns to new users Following up via e-mail/group sessions on access issues and the production of user guides Population and management of vendor profiles Due Diligence, vendor assessments reports and governance reviews for vendor effectiveness tracking Support on dealing with all issues for IT and the wider Hiscox population Coordination of a database of tiered suppliers (within the confines of GDPR) Stakeholder management and communication This is a role where we would expect you to have some procurement understanding and an idea of best practise when it comes to commercial supplier relationship management, buying and agreeing support contracts. You will have a good understanding of IT practise, principles and technology and preferably some understanding of working within a financial, insurance or other regulated industry. You will have strong MS Office experience, be used to delivering quality work in accordance with a defined and repeatable process and be competent at maintaining databases and information within a business-critical setting. You will be a multi-tasker, a team player, proactive and informative and above all be comfortable using your own initiative to work out and resolve problems and issues as they arise.
