Overview
Our client is looking for an experienced PA to provide and effective and proactive PA and general administrative support to three of its Directors, including the Managing Director. The successful candidate will act as the first point of contact for the Senior Management team and manage the full remit of PA responsibilities. Duties Providing effective PA support to the Directors including diary management, booking meetings, planning events, attending external and internal meetings and taking minutes and prioritising correspondence Working closely with the Directors and SMT, arranging meetings and preparing briefing material as required Coordinating departmental reports in preparation for quarterly Board meetings and other meetings with external stakeholders Conducting research/analysis as outlined by the Directors Producing reports as and when required Ensuring action points from meetings are followed up on behalf of Directors when requested Creating PowerPoint presentations for use in internal and external meetings, conferences and other internal and customer-facing events Managing expenses and purchases Organising booking travel logistics Background research to prepare for meetings and visits when required Drafting communications and organising and requesting meetings Preparing and coordinating paperwork for meetings and attending to take and send out minutes Person Specification Previous PA experience, ideally at Director level Discretion, confidentiality and integrity are essential Organisational and planning skills Resourceful and able to meet tight deadlines Experience of managing diaries and booking complex travel arrangements Commercial awareness Experience of working as part of a team and a strong work ethic Strong IT skills including Excel, PowerPoint and Word Excellent interpersonal and communication skills and able to forge strong working relationships Excellent written correspondence and ability to take high-quality, accurate minutes Proactive and professional Focused on the highest levels of customer service
