Overview
Overview Due to the continued expansion of our private psychology services we are excited to be able to recruit a Business Support Assistant for our practice at Warren Park, Milton Keynes. The position is advertised as part-time between the hours of 4pm and 8pm four days a week, Monday to Thursday . The position is for 16 hours per week . Increased hours maybe available in the near future. The Practice MK is a private multi-disciplinary psychology practice based in Milton Keynes and provides a range of services to both private clients and the NHS for adults and children to access. We currently employee a small team of administrative staff who support our team of clinicians including psychologists, therapists and other health care practitioners. Despite our rapid growth we still maintain our core values of being a family based practice where client care and communication is paramount. We require a dynamic and committed Business Support Assistant to support the smooth running of our practice and office on a day-to-day basis. You will be highly motivated, hardworking and organised individual with excellent communication skills. Key Responsibilities To contribute to the smooth running of the client administrative process and to provide an efficient, professional and standard service to all clients, visitors, and clinical staff. All client queries are dealt with efficiently and professionally. Day to day management of the referrals into the practice Support management and processing of incoming and outgoing mail as required Responsible for dealing with a wide range of telephone enquiries and correspondence - working on own initiative to take action as appropriate and referring issues to the Practice Manager where appropriate Diary management experience is essential as you will be responsible for booking client appointments and resolving scedhuling issues that may arise. Provide a high quality administrative support service as required Ensure reception and practice rooms remain clean and tidy Arrange meetings, book facilities/equipment, prepare agendas, attend meetings and produce and distribute minutes within agreed timescales The practice closes at 8pm Monday to Thursday and so the successful candidate will need to be responsible for locking the practice at closing time. Who are we looking for? The successful candidate will have excellent communication skills both verbally and written, be able to expertly convey information regarding our services to potential clients and speak confidently to existing clients about their cases. Using initiative is essential and being able to prioritise work is a skill that you will need to possess. KNOWLEDGE, SKILLS & EXPERIENCE 5 GCSE’s grade C or above (including English and Maths) or equivalent NVQ or experience Demonstrable skills in supporting performance management; data analysis and problem solving Ability to work flexibly Ability to work with confidential and sensitive data Be ICT literate Strong organisational skills Excellent interpersonal skills and demonstrable experience of working with diverse stakeholders · Reliable trustworthy and ability to maintain confidentiality at all times Ability to prioritise, multi-task and co-ordinate workloads and work under pressure to meet deadlines Good time management skills Ability to work unsupervised and under own initiative High level of commitment and positive "can do" attitude Maintain and promote the highest standards of data quality ensuring reliable, accurate and timely information is available at all times Closing date will be 10th April 2020.
