Overview

My client, a global giant within the Technology industry, is looking for Executive Administration Assistant to join their team in Reading on an 11 months Contract. Duties: Time management - Pro-active diary management, responsible for keeping an overall view of the diary and ensuring that there is an optimum schedule (calendar, travel etc) Complex diary management with multiple time zones Process and submit expenses in an accurate and timely way to meet all policy requirements Maintaining T&E budget for EMEA Organizing team offsites Logistics for team offsite; managing travel bookings, group accommodation, venues and conference room bookings etc Booking worldwide business travel and manage visa applications Ensuring all briefing papers and supporting information for internal / external meetings are given to the GM in a timely manner Organize EMEA sub visits with supporting agenda's and travel schedules Work with EMEA regions to create agenda's to maximize optimum time spent with the sub Budget Management - assist with PO requests and payments to our partners/vendors; Budget Overview: Account Codes, IO's, Informa, Reclasses, & Expense (informa and expense) Assist with procurement of goods and services including computer equipment, office supplies, reference materials and facility requests Assist with management of systems, tools, and processes, including: managing team distribution lists; maintaining and publishing org charts; updating team contact lists; manage access to team server, websites and the Planner Update aliases and org charts Update SharePoint and Teams sites, if applicable General office support Complete special project work as assigned by UK HR and GSMO HR teams Track the assets for the organization and clean the asset tool Management of confidential information Connecting the dots in EMEA and GSMO HR Experience Required: Self-motivated, hands on, can do attitude Should have experience in a global role Proficient in Outlook and office skills Organized and efficient, able to prioritize and forward plan Good at problem solving High levels of integrity and confidentiality Ability to deal with numerous competing demands and range of different people Work to tight deadlines, multitask, work under pressure Knowledge at intermediate level of MS Outlook and Word Huntress Search Ltd acts as a Recruitment Agency in relation to all Permanent roles and as a Recruitment Business in relation to all Temporary roles.
