Junior PA £24-26k DOE This is a lovely role within a very respected art gallery, but you must be a TA/PA and love being a TA/PA first and foremost for this one A premium and well respected art gallery based in central London is looking for a Junior PA to support their Directors. They represent prominent artists and the business has a lovely family feel where employees feel valued and tend to stay for the long term. They need someone who is going to be capable, incredibly discrete and who has social intelligence in dealing with clients. Hours: Tuesday to Saturday 10am - 6pm Junior PA Job purpose: To provide trustworthy and efficient Business and Private secretarial support to the Directors. You will work closely with the Senior EA but will work for the principal's directly yourself too. To be a self motivated pro-active problem solver who will prioritise and take initiative to provide high-level executive support. This includes diary, meeting and travel management, administrative support and management of correspondence. Discretion and confidentiality as well as immecable spelling and grammar are essential. Junior PA Main Accountabilities will include: Organizing and maintaining diaries and making internal and external appointments.Screening telephone calls and email, enquiries and requests, and handling them Meeting and greeting visitors at all levels of seniority and arranging refreshments when required Arranging all requested Directors travel and accommodation When Directors are travelling: checking post and e-mails, providing them with updates on incoming queries and acting as liaison between contacts and Directors in their absence. Contact the Directors relating to any important internal matters that have been raised as a matter of urgency by the team When Directors are travelling ensuring all their requirements are met i.e. Transport, meeting schedules, venue reservations etc. Maintaining Directors admin including post, emails, filing, scanning, faxing and shredding confidential materials. Attend sales and programming meetings and take action points on behalf of the Directors. Liaising with clients, artist's suppliers and other staff, as appropriate. Keep updated on gallery artist practice as well as internal and external exhibitions. Assisting the Head of the Directors Office with Art Fair staffing rotas. Carrying out specific projects and/or background research as requested, presenting findings in a clear way to the Directors. Key criteria: You will be highly discrete and socially intelligent - fantastic at refined client liaison and practiced at being extremely tactful and discrete You will have top notch attention to detail. You will be immaculately presented. You will have at least a years' PA / TA experience An interest in the visual arts would be an enormous benefit but you need to be looking for an administrative / PA role, not just a foot in the door of the arts world.
