Overview

Office Manager Working for a bespoke boutique consultancy in Leatherhead, this 9 month maternity contract will involve various elements of accounts, facilities, administration and providing general support to 2 Directors and the team of consultants. Starting April 2020, with onsite parking and salary of up to £25k pro rata. Administration / Facilities: Typing CV’s and advertising job roles across 4 sites as a priority Updating window display and leaflets weekly with new roles Re-living roles on job boards weekly Creating meeting notes and information for consultants and Directors Monitoring and ordering supplies for the office / kitchen Sending good luck cards to recently placed candidates Cross referencing the two systems weekly, ensuring CRM is up to date Contacting suppliers (IT, Telecoms etc) when lines go down Filing, shredding and maintaining all paperwork Renewal of supplier agreements, gathering all information and presenting to the Directors Maintaining the company website - removing expired roles Meeting and greeting customers that walk in, discussing their requirements Invoicing / Temporary Payroll: Creating invoices for Directors approval Collating timesheets weekly, saving to the system and sending to payroll Liaising with payroll regarding any temporary queries Using timesheets, updating excel spreadsheet with commissions Uploading temporary invoices to Xero and excel Creating new workers for payroll and on excel Confirm temporary bookings via email, ensuring all relevant documents are included Following up references for temporary workers, updating CRM Calculating rates and updating rate charts with any changes to legislation Updating figures with temporary and permanent revenue Calculating commission monthly, providing reports for Directors approval Updating various reports analysis on excel monthly Creating new reports on a monthly / annual basis, ensuring all calculations are accurate Person Specification: Previous office administration experience is essential Previous experience of working within a recruitment consultancy is preferred but not essential Must have good working knowledge of excel Excellent attention to detail Confident with figures, calculating percentages etc Good communicator via phone, email and face to face Ability to constantly prioritise and multi-task Additional Information: Based in Leatherhead 9 month maternity contract (starting April 2020) Up to £25,000 pro rata Onsite parking AE Pension Monday - Friday, 8:30am - 5:30pm 25 days holiday plus bank holidays (pro rata) We appreciate the time you took to apply for this vacancy, however due to the high level of applications that we receive, we can only respond to successful candidates.
