Shipping Assistant Godalming Position to cover for maternity leave commencing 4 May 2020 to 30 September 2020 but possible extension to 31 December 2020 To work alongside incumbent shipping personnel Salary £25,000 per annum. Hours 9am - 5.30pm Monday to Friday Free parking Produce a packing list for a number of cartons and contents of cartons - weight, volume etc To receive, unpack and check goods in warehouse to see if they are correct as per order and as per customers’ terms or requests. Pack or repack goods in to export cartons, etc and arrange to despatch goods to port with correct paperwork attached, ensure the goods are marked correctly with shipping marks Check all purchase orders to factories and order acknowledgments from factories against our paperwork. Liaise with factories and customers to ensure the smooth completion of our export order. Check invoices from suppliers and file in file folder. Enter order acknowledgement in to the “mansys” software. Check proforma invoice for advance payment to suppliers and pass them on to accounts department for payment. The Shipping Assistant will call forward goods from factories or arrange for freight forwarder to collect Advise freight forwarder bill of lading details before it is sent to us by post so as to make sure the correct details are on the documents, then ask for the documents to be sent To prepare export shipping invoice and packing list and obtain all other shipping documents - certificate of origin or bill of lading or airway bill, insurance policy, packing list etc To be able to bank shipping documents. Liaise with overseas agents and quote out freight to customers when asked to do so To liaise with overseas agents/customers/supplier by phone/email to ensure the smooth running of customer’s order To prepare the correct documents against a letter of credit and presentation to bank Using the INVU filing system - if a file or quote has already been opened and scanned in to INVU and INVU must be updated with current work i.e. every email in and out has to be indexed on the day it was received or sent. For faxes and other documents, you must save them and scan in to INVU It is imperative that you follow this procedure to keep all files up to date The Shipping Assistant will organise and prepare all letters and parcels for posting with the post office and organise despatch of couriers The Shipping Assistant will organise beverages for your visitors when at our office
